New Fields: Employee Taxability Fields

With this release, there are new employee-taxability-related fields for Expense.

Description: The new employee taxability fields allow users to report on the non-taxable and flat-rate taxable amounts for employees to support German tax calculations. These fields were added to the model for use with a future feature.

The new employee-taxability-related fields for Expense are located in the following folder:

  • Expense > Expense Claims > Employee Taxability
New Fields: Work Location Fields

With this release, there are new travel-allowance-related fields for Expense.

The new work location fields allow users to report on the work address for the travel allowance itinerary’s arrival location.

New Persona Dashboard: Combined Spend Overview (Intelligence)

A new persona-based dashboard, the Combined Spend Overview dashboard, is now available. Intelligence clients can use the Combined Spend Overview dashboard to view the key metrics for their company's combined spend associated with the company's expense claims and invoices. The dashboard can help clients track how the metrics are trending, the impact on cash flow and budgets, and help evaluate the need for changes in the expense claim and procurement processes to optimise them.

This release is the first iteration of the dashboard. In the coming months, we will be enhancing the dashboard with additional metrics and drill reports.

DASHBOARD FEATURES

Total Combined Spend

The Total Combined Spend section provides the combined spend for both Expense and Invoice for the year-to-date and current quarter-to-date, and the combined total accrual for the current quarter-to-date.

The combined spend includes all expense claims that have been sent for payment and all invoices that have been sent for payment processing. Combined spend does not include accruals. The Accrual number displayed in this section is the combined total of unpaid expense entries, unassigned credit card transactions and unpaid invoices for the current quarter-to-date.

The graph in the Total Combined Spend section is a visualisation of the percentages of the combined spend that are attributed to Expense and Invoice for the year-to-date.

Placing your pointer over a section of the graph displays the spend type (Expense or Invoice) associated with the section and the percentage of the total combined spend associated with that spend type for the year-to-date. In the example below, 23 percent of the total combined spend is from all the expense claims that have been sent for payment for the year-to-date.

Average Life Cycle

The Average Life Cycle section provides a visualisation of the current quarter's life cycle averages for your company's expense claims and invoices, including the average total days for the expense claim and invoice life cycle for the current quarter-to-date. All numbers displayed in the Average Life Cycle section are averages.

  • The days on average number is the average of the submission, approval and payment days for expense claims or invoices for the current quarter-to-date.
  • The Submission number is the average of the days from the expense transaction date until the expense claim submission, or the average of the days from the invoice creation date in Invoice until the time the invoice is submitted for the current quarter.
  • The Approval number is the average of the days from the first-time submission date of the expense claim or invoice until the expense claim or invoice is approved for the current quarter.
  • The Payment number is the average of the number of days from expense claim approval date until the date the expense claim is submitted for payment, or the average of the number of days from the invoice approval date until the invoice is submitted for payment processing for the current quarter.

Placing your pointer over a section of the life cycle bar displays the current quarter, the life cycle stage and the average percentage of expense claims or invoices currently in that life cycle stage.

Combined Spend Trend

The Combined Spend Trend section provides a visualisation of the combined year-to-date spend by month for both Expense and Invoice.

The combined spend includes all expense claims that have been sent for payment and all invoices that have been sent for payment processing. Combined spend does not include accruals.

Placing your pointer over a spend segment on a bar displays the month, year, spend type (Expense or Invoice) and the approved amount associated with the segment for the expenses that have been sent for payment or invoices that have been sent for payment processing for the month.

DASHBOARD INFORMATION

Each section of the Combined Spend Overview dashboard contains the information icon. Clicking the icon opens a description of the dashboard section and the Learn More link. The Learn More link opens the Chapter 16: Folder – Persona Dashboards in the Standard Reports by Folder guide (English only) in a separate window.

DRILL-THROUGH REPORTS

Each section of the Combined Spend Dashboard contains the report drill-though icon. Clicking the icon opens the list of reports associated with the section, including a detail report for the section.

The first report(s) in the list is/are the detail report(s) associated with the section. Selecting a report in the list opens the report in a separate window.

New Reports: Average Life Cycle Details

There are two new detail reports for the Average Life Cycle section of the Combined Spend Overview dashboard: Average Life Cycle Details – Expense and Average Life Cycle Details – Invoice. The Average Life Cycle Details – Expense report is a copy of the Average Life Cycle Details report associated with the Department Manager Expense Claim Overview dashboard. The only difference between the Expense versions of the report is the name of the report.

For the Department Manager Expense Claim Overview dashboard, the detail report is named Average Life Cycle – Details. For the Combined Spend Overview dashboard, the detail report for Expense is named Average Life Cycle Details – Expense.

The Average Life Cycle Details – Expense report provides details about individual expense claims. The expense claims are listed according to their current stage in the expense claim life cycle – Submitted, Approved or Paid.

The Average Life Cycle Details – Invoice report provides details about individual invoices. The invoices are listed according to their current stage in the invoice life cycle – Submitted, Approved or Paid.

The Average Life Cycle Details – Invoice report includes these columns:

Updated Report: Attendee Details

The Attendee Details report now only includes attendee information for attendees currently associated with expenses. Before this update, the report included all attendees previously and currently associated with an expense.

Updated Report: Invisible Spend Details

The Invisible Spend Details report date prompt was updated to only allow for dates from 1st January 2017 or later. This is due to the improved visible spend matching process only being available for data from 1st January 2017 or later.

WHAT THE USER SEES

The From field in the Sent for Payment Date prompt now defaults to 1 January 2017, and the From field now only accepts dates from 1 January 2017 or later.

Enhancements to the Standard Reports by Folder Guide

SAP Concur is in the process of enhancing the Standard Reports by Folder guide (English only). We are adding definitions of the report prompts and fields, and adding the expressions associated with the report fields for each report.

This is an ongoing project. Clients will see these guide updates as they become available.

Expense to Itinerary Matching Data Update

The Invisible Spend Trend Analysis Dashboard and Invisible Spend Details reports were released in the August 2018 release with improved expense to itinerary matching data. However, the expense to itinerary matching data has only been updated up to the end of July 2018. Between the 22 September 2018 and the 13 October 2018 release, SAP Concur plans to update the supporting expense to itinerary matching data up to the current date.

This impacts any custom report built using the Associated Trip Reservation fields or the Associated Travel Reservation Key from the Entry Information table in the data model.

The Associated Trip Reservation fields are located in the following folder in the data model:

  • Expense > Expense Claims > Entry Information > Associated Trip Reservation

The Associated Travel Reservation Key is located in the following folder in the data model:

  • Expense > Expense Claims > Entry Information > Keys
Personalised Concur Open

Concur Open is the SAP Concur service status dashboard, which displays known and widespread outages and incidents for select SAP Concur services and all data centres. Concur Open displays the current service status as well as incident history for the past 20 days.

Personalised Concur Open became available on 11 September.

With the release, there will be new functionality added to Concur Open. SAP Concur users will be able to log in to a personalised view of Concur Open and:

  • View service status for the services and the data centre that are specific to their company

  • Access subscription options for updates about the incidents that affect the services specific to their company

  • View service history for the past two years as well as detailed root cause analysis information and the actions taken by SAP Concur for specific incidents

Business Purpose / Client Benefit: Customers use Concur Open to monitor their SAP Concur services outages, status and availability. Adding this new functionality will provide customers with a personalised view of their service status and availability. SAP Concur's goal is to provide a more accurate and transparent view of incidents/outages.

The items in this section are targeted for future releases. Concur reserves the right to postpone implementation of – or completely remove – any enhancement/change mentioned here.

**Planned Changes** Insight Premium Product Retirement (31 December 2018)

SAP Concur plans to retire our Insight Premium product on 31 December 2018.

Insight Premium is a reporting product that was offered briefly, but has not been offered or updated for several years. Concur Intelligence contains the functionality originally offered with Insight Premium.

Business Purpose / Client Benefit: This retirement allows Concur to focus development resources on further enhancements to our Intelligence product whose functionality, innovation and value now exceeds that of our legacy product.
