New Fields: Employee Preferences Fields

With this release, there are additional employee-preferences-related fields available for Expense.

DESCRIPTION: These fields were added to be used for reporting purposes.

The new employee-preferences-related fields are located in the following folder:

With this release, additional TripLink-related fields are available for Travel.

Report Changes

New Report: System Activity Report

Analysis and Intelligence clients can use the new System Activity Report to view the system activity for Expense Claims during a specific time period.

Activity Count on the claim is based on the number of activities, such as Claim Created, Claim First Submitted, Claim Last Submitted, Claim First Approved, Claim Sent for Payment or Claim Paid, that occurred during the selected date and time range. Activity Count is not based on the number of expense claims that were accessed during the selected time period.

REPORT OUTPUT

This report includes these fields and columns:

  • Activity Date
  • Activity Count by Day
  • Hour Range
  • Activity Count by Hour
  • Activity Type
  • Employee
  • Employee ID
  • Claim Name
  • Claim ID

Updated Report: Employee Audit Required Status

A Report Prompts page with the new Expense Audit Required prompt was added to the Employee Audit Required Status report. The Employee Audit Required Status report can now be filtered to show the Expense Audit Required status of only employees with expense claims created or the Expense Audit Required status of all employees. This enhancement gives administrators better insight and visibility into their audit configuration.

The previous version of the report only displayed the Expense Audit Required status for employees with expense claims created.

Persona Dashboard: Quick Access Menu Updated

The label for the Department Manager Expense Claim Overview dashboard on the Quick Access Menu was renamed from Department Manager Expense to Department Manager Expense Claim.

Other Changes

In-Product Messaging (IPM) for Europe

For quite some time, In-Product Messaging (IPM) within Concur products has been available for US customers.

The messaging that is presented to each US user is based on data provided by a well-known US-based "recommendation" engine. That engine, however, is not the best fit for the stricter laws in the European Union (EU). So, in an effort to comply with the EU laws, Concur developed its own recommendation engine for its In-Product Messaging System.

In mid-November, IPM will be enabled for all EU customers, using Concur's In-Product Messaging System. Also, since the new system provides a better all-around IPM experience, US customers will soon see IPM using the new system.

Just like today for US users – the content, timing, location and frequency of a message are all defined by each message campaign and by the characteristics of each company and each user.

2018 Release Calendar Now Available

The 2018 release calendar is available. The release calendar shows all of the monthly releases for 2018, as well as the release note schedule, Travel client presentations and tradeshows.

Planned Changes

The items in this section are targeted for future releases. Concur reserves the right to postpone implementation of – or completely remove – any enhancement/change mentioned here.

Report Changes: **Planned Changes** Actionable Analytics Updates

A number of changes are planned for the Actionable Analytics alerts. Concur will be enhancing the Actionable Analytics platform to provide additional alerting capabilities in the future. These changes include improving the readability of the emails and formatting them to better align with other the email messages sent out by Concur. A key focus will be making the emails more mobile-friendly and adding support for plain text messages.

MANAGER DASHBOARD

In January, Concur will stop automatically sending the Manager Dashboard report when the Manager Dashboard alert is enabled for a BI Manager, and the Manager Dashboard check box will be removed from the Actionable Analytics Set Up tab in Reporting Configuration and from the Notification Settings page (Profile > Profile Settings > Notification Settings) for BI Managers.

The Manager Dashboard report will continue to be available in Intelligence. The report is located here:

Intelligence - Standard Reports ‎> Premium Dashboards > Actionable Analytics > Manager Dashboard.

To continue receiving the Manager Dashboard report after January, BI Managers will need to schedule the Manager Dashboard report.

For BI Managers currently receiving the Manager Dashboard as an Actionable Alert, the following reminder will be displayed with the report:

In January, Concur will stop automatically sending the Manager Dashboard report as an Actionable Alert.To continue receiving the Manager Dashboard report after January, you will need to schedule the report.Please refer to the November release notes for more information.

SCHEDULING THE MANAGER DASHBOARD

To schedule the Manager Dashboard report, a schedule needs to be added to the report view for the Manager Dashboard report in Cognos. A report view, named Report View of Manager Dashboard, may have been automatically created for BI Managers in their My Folders directory. If so, BI Managers just need to schedule this report view.

If the My Folders directory for BI Managers does not contain the Report View of Manager Dashboard, the BI Managers can create this report view, and then schedule the report view. We have included the steps for creating and scheduling a report view for the Manager Dashboard report in this release note.

To create a report view for the Manager Dashboard report:

  1. In Cognos, navigate to Public Folders > Intelligence – Standard Reports > Premium Dashboards > Actionable Analytics > Manager Dashboard.
  2. Click the Create a report view of this report icon for the Manager Dashboard report.
  3. The New Report View wizard page opens.
  4. Enter the report name, description and screen tip. The default location for the report is: Public Folders ‎> Intelligence - Standard Reports ‎> Premium Dashboards ‎> Actionable Analytics. It is best practice for BI Managers to save the report view to My Folders so that the view is only visible and available to the BI Manager.
  5. In the Location section, click Select My Folders, and then click Finish. Clicking Finish creates a report view for the Manager Dashboard report on the My Folders tab.

To schedule the report view for the Manager Dashboard report:

  1. Click the My Folders tab.
  2. Click the Schedule icon for the Report View of Manager Dashboard.
  3. The Schedule page opens.
  4. Define the schedule for the Manager Dashboard report, and then click OK.

PERCENT OF BUDGET

The Percent of Budget alert email will be enhanced to be mobile-friendly and to align with the format used for other Concur email messages.

CREDIT CARD TRANSACTIONS

The Credit Card Transactions alert email will be enhanced to be mobile-friendly and to align with the format used for other Concur email messages.

The Credit Card Transactions alert will also be split into two separate alerts. One for credit card transactions meeting or exceeding the transaction threshold, and one for credit card transactions associated with specific merchant category codes that are flagged for review.

Having two separate Credit Card Transactions alerts will provide BI Managers with more clarity about why they are receiving the alert, and provide additional flexibility regarding which alerts they want to receive.

IMPORTANT INFORMATION ABOUT THE UPDATES

With both the Percent of Budget and Credit Card Transactions alerts there will be no disruption when the alerts are moved to the new platform. Any BI Manager currently receiving these alerts will continue to receive the alerts; the alerts will simply be delivered using the new email format.

There will be a disruption with the Manager Dashboard unless action is taken by the BI Manager prior to the January release. Any BI Manager currently receiving the Manager Dashboard alert will stop receiving the Manager Dashboard report in January unless the BI Manager schedules the Manager Dashboard report for themselves before the Actionable Analytics changes are released in January.
