Concur Invoice Professional Edition Administration Help

October 2017 Invoice Professional Edition Admin Summary

Last Update: 14th October 2017

Invoice

Custom Field Editable for Multiple Payment Request Line Items

In the September release, Invoice introduced a new window to edit multiple expense type fields. With this release, the Edit Multiple Fields window now offers the option of editing multiple custom fields.

Clients select two or more line items and then click the Edit button in the Itemisation Summary section of the opened payment request.

When clients select one line item and click the Edit button, Invoice will work in the same way as at present. When clients select more than one line item and click the Edit button, the Edit Multiple Fields window appears, where they can edit the custom field(s).

Business Purpose/Client Benefit: This feature makes it easier for users to perform bulk updates to their payment requests.

Purchase Requests and Purchase Orders

Invoice and Purchase Request Numbers Hyperlinked

In the September release, a number of purchase request and purchase order numbers became hyperlinked to enable clients to access relevant information more easily. With this release, Invoice has added hyperlinks to three more locations.

Business Purpose/Client Benefit: This feature makes it easier for clients to quickly go to the related records to view their information.

Custom Fields Now Supported for Receipts of Goods

Clients who have the Concur Receiving feature activated will now be able to add and use up to ten custom fields for receipts of goods to store additional data.

Admins can define the custom fields as required by selecting (enabling) the Required check box in the Add/Modify Form Fields window in the Forms and Fields tool. In addition, admins can set up validations to ensure the correct data is entered into the custom fields.

The user will see any added custom fields in the Enter Received Goods window.

In addition, the user will see the custom field in the Itemisation Summary section of the opened purchase order.

Business Purpose/Client Benefit: This feature provides clients with more field options when working with receipts.

New Receipt User Role

The new Receipt User role allows purchase request owners to enter, update and delete receipt data for their own purchase orders. The introduction of this role is to further ensure that the user roles for handling receipts are defined according to the specific tasks that users with this role perform, providing increased compliance and efficiency for companies.

Clients can add the Receipt User role manually, or through the User Import.

Business Purpose/Client Benefit: This feature enables clients to comply with data integrity best practices by allowing users with this role to manage their own receipt data for their purchase orders without changing other data for these approved purchase orders.

**Planned Changes** In-Product Messaging for Europe

For quite some time, In-Product Messaging (IPM) within Concur products has been available for United States (US) customers.

The messaging that is presented to each US user is based on data provided by a well-known US-based "recommendation" engine. That engine, however, is not the best fit for the stricter laws in the European Union (EU). So, in an effort to comply with the EU laws, Concur developed its own recommendation engine for its In-Product Messaging System.

Early Access customers in the EU will be contacted by a Concur representative before enabling this feature. After 60 days, this feature could be enabled for all other customers in the EU. Also, since the new system will provide a better all-around IPM experience for Concur customers, US customers will soon use the new system, too.

Just like today for US users – the content, timing, location and frequency of a message are all defined by each message campaign and by the characteristics of each company and each user.
