Additional Operator Filters Now Available for Budget Tracking Fields
Already existing for Invoice Professional edition clients, operator filters are now available for Invoice Standard edition clients too.
The table below describes the operators that admins can use as filters for budget tracking fields.
|
Operator |
Description |
|---|---|
|
IsEqual |
This is the default operator which will filter on a value in the Value column. If the None value is selected, the filtering will take place on any or all values in the list. The admin can change the operator if needed. For example, a departmental budget for the Finance department will have the following budget tracking field filter: Department IsEqual Finance. |
|
IsNotEqual |
This operator is useful if you need all values apart from one, or when a field on the expense report or invoice is optional and may have blank values beside valid values. For example, if there is a separate budget for the Training department in your company, Training would have the IsEqual operator, and other departments would have the IsNotEqual operator. |
|
IsBlank |
With this operator, budgets will be matched if the spending item has no value, and then the budget tracking field value is ignored. Mapping to budget will be performed and no searching or filtering will take place. |
|
IsNotBlank |
With this operator, budgets will be matched if the spending item has a value, and then the budget tracking field value is considered. Mapping to budget will be performed and searching or filtering will take place. |
|
InValueList |
This operator enables entry of a comma separated value list (not a maintained list or a connected list) which can be useful for, for example, a budget owner who owns multiple cost centers within one budget. They can then list the cost centers with a comma-separated value. This operator is only available for free form text fields. NOTE: The InValueList value needs to be comma separated without any spaces in between. The values also need to be in list codes. For example, "FR" for "France". |
|
NotInValueList |
Admins can use this negative operator to exclude certain values. This operator is only available for free form text fields |
|
IsTrue |
Admins can use this operator to filter on Boolean values. This operator is only available for free form text fields. For example, if admins select an Is Billable Boolean budget tracking field value together with the IsTrue operator, the system will only filter on expenses that are billable. The IsTrue operator only covers True. |
|
IsNotTrue |
Admins can use this operator to filter on Boolean values. If a Boolean field does not have a default value and is not required, it is saved as Null (neither True or False). This operator covers both False and Null and is only available for free form text fields. |
|
IsFalse |
Admins can use this operator to filter on Boolean values. This operator is only available for free form text fields. For example, if admins select an Is Billable Boolean budget tracking field value together with the IsFalse operator, the system will not filter on expenses that are billable. The IsFalse operator only covers False, not Null. |
|
IsNotFalse |
Admins can use this operator to filter on Boolean values. This operator is only available for free form text fields. The IsNotFalse operator covers True and Null. |
Business Purpose/Client Benefit: This feature will help clients to better filter their budget tracking fields by, for example, including or excluding certain values.
Budget Approver User Role Relabeled
With this release, the Budget Approver role is relabeled to Budget Approver/Manager. This relabeling also affects Profile Settings, the Users page in Product Settings, and the Manage Managers (Optional) tab in Budget Items.
Business Purpose/Client Benefit: This enhancement better clarifies to clients that the role is a dual role.
Currencies No Longer Editable in Budget Items
The Currency list is no longer editable, if the budget item is associated with a spending item, in the Modify Budget Item window of Budget Items. The reason for this change is that if an admin changed the currency, the balance was not recalculated and, thereby, showed the incorrect amount.
Business Purpose/Client Benefit: This enhancement will provide clients with the correct currency amount.
New Explanatory Text in Budget Items
When clients add or modify a budget item, they will now be able to view explanatory text for some fields by clicking a question mark icon next to the Budget Name, Budget Display Name, and Budget Owner fields.
Business Purpose/Client Benefit: This enhancement will provide clients with quick and easy information about the field in which they will enter information.
Include Pending Has Changed Name in Budget Settings
The Include Pending setting is now labeled Include Pending Amount in Remaining Amount calculation.
Business Purpose/Client Benefit: This enhancement gives clients a better understanding of what it means to select (enable) this setting.
Manage Managers (Optional) Tab Disabled for New Clients
The Manage Managers (Optional) tab in Budget Items is now disabled by default for new clients.
Business Purpose/Client Benefit: This enhancement prevents clients from adding budget managers when it might not be necessary.
Expense
New Instructional Text for Show Unsubmitted Expense Setting in Budget Settings
Clients can now click on a question mark icon next to the Show Unsubmitted Expenses option in Budget Settings to read more about the setting.
Business Purpose/Client Benefit: This enhancement gives clients a quick overview of the three different options available in this setting.
Data Retention
New Early Access Feature for Outdated Data
SAP Concur has a new feature, Data Retention, that allows clients to control how long the Concur solution stores their data based on who, when, and where criteria.
The feature provides the following functionality:
-
Allows a company to set a specific amount of calendar time after which data such as old user profiles, itineraries, and expense reports will be removed
-
Provides for strict access to policy configuration with an email
-
Includes the ability to place a hold on a specific user whose data will be excluded by this feature when it is necessary or desirable to retain older data
-
Includes the ability to remove the data of a specific user independent of the company-wide data retention configuration
-
Provides a high-level summary of events to monitor data retention activities
For Expense, Request, and Invoice, in Standard Edition, the existing admin roles have been granted the permission to administer (set up and edit) the Data Retention configuration. For Travel, in Standard Edition, a new role, Data Retention Administrator, was created.
