Concur Invoice Standard Edition Administration Help

October 2017 Invoice Standard Edition Admin Summary

Last Update: October 14 2017

Invoice

Custom Field Editable for Multiple Payment Request Line Items

In the September release, Invoice introduced a new window to edit multiple expense type fields. With this release, the Edit Multiple Fields window now offers the option of editing multiple custom fields.

Clients select two or more line items and then click the Edit button in the Itemization Summary section of the opened payment request.

When clients select one line item and click the Edit button, Invoice will work as it currently does. When clients select more than one line item and click the Edit button, the Edit Multiple Fields window appears where they can edit the custom field(s).

Business Purpose/Client Benefit: This feature makes it easier for users to perform bulk updates to their payment requests.

Purchase Requests and Purchase Orders

Invoice and Purchase Request Numbers Hyperlinked

In the September release, a number of purchase request and purchase order numbers became hyperlinked, so that clients could more easily access relevant information. With this release, Invoice has added hyperlinks to three more locations.

Business Purpose/Client Benefit: This feature makes it easier for clients to quickly go to the related records to view their information.

New Receipt User Role

The new Receipt User role allows purchase request owners to enter, update, and delete receipt data for their own purchase orders. The introduction of this role is to further ensure that the user roles to handle receipts are defined according to the specific tasks users with this role performs, providing increased compliance and efficiency for companies.

Clients can add the Receipt User role manually or through the User Import.

Business Purpose/Client Benefit: This feature lets clients be in compliance with data integrity best practices by letting users with this role manage their own receipt data on their purchase orders without changing other data on these approved purchase orders.

Planned Changes

The items in this section are targeted for future releases. Concur reserves the right to postpone implementation of – or completely remove – any enhancement/change mentioned here.

**Planned Changes** Multiple Funding Accounts Now Available

Already existing in the Invoice Professional Edition, multiple funding accounts are now available for Invoice Standard Edition clients. Invoice Pay will support the use of more than one funding account to disburse payments to suppliers. While many clients elect to fund from a single funding account, there are cases where multiple funding accounts are desirable.

Common scenarios supporting multiple funding accounts include:

  • Merger and acquisitions: A company is merged into or acquired by the client company and the different companies use different funding accounts

  • Universities: A university has multiple schools within their system, each of which is funded from a different source

Business Purpose/Client Benefit: This feature gives clients the flexibility needed when more than one funding account is needed to pay suppliers.

**Planned Changes** In-Product Messaging for Europe

For quite some time, In-Product Messaging (IPM) within Concur products has been available for United States (US) customers.

The messaging that is presented to each US user is based on data provided by a well-known US-based "recommendation" engine. That engine, however, is not the best fit for the stricter laws in the European Union (EU). So, in an effort to comply with the EU laws, Concur developed its own recommendation engine for its In-Product Messaging System.

Early Access customers in the EU will be contacted by a Concur representative before enabling this feature. After 60 days, this feature could be enabled for all other customers in EU. Also, since the new system will provide a better all-around IPM experience for Concur customers, US customers will soon use the new system, too.

Just like today for US users – the content, timing, location, and frequency of a message are all defined by each message campaign and by the characteristics of each company and each user.

**Planned Changes** Setup Has New Look and Improved Navigation

The current Setup navigation links that appear on each of the Setup pages will be reorganized into a central Product Settings page containing sections, defined by business purpose, which contain links and brief descriptions for the Setup pages, to help administrators understand the purpose of each feature. On clicking a link, for example Users, you would go to the existing Users page that you use today. A navigation breadcrumb trail provides a path back to the central Product Settings page.

Business Purpose/Client Benefit: This enhancement will help improve the Setup feature navigation, and make it easier for new administrators to understand the settings available to them.

**Planned Changes** Self-Education Options for Administrators

Administrators will see a new (?) option on the Setup pages for accessing the new self-education pane. The self-education pane will also be available on a number of pages outside of Setup. On the self-education pane, administrators can search a catalog of interactive training flows, find links to administrator training videos and documents, and start a chat conversation with a Concur Coach.

The self-education pane will be available on each of the Setup pages you can access from the new Product Settings page.

For more information about the new Product Settings page, refer to **Planned Changes** Setup is Getting a New Look and Improved Navigation in these release notes.

The self-education pane will also be available on the following pages:

  • Processor (Expense > Process Reports)

  • Admin Tools - (Administration > Company > Tools)

  • Monitor Batches (Administration > Company > Tools > Monitor Batches)

  • Monitor Payees (Administration > Company > Tools > Monitor Payees)

  • Company Card (Card Admin) (Administration > Company > Tools > Company Card)

In the future, the self-education pane may be added to additional pages.

Business Purpose / Client Benefit: This enhancement will make it easier for administrators to learn about the Expense, Request, and Invoice settings and get their questions answered.
