What Is New in Flexible Real Estate Management?

Flexible Real Estate Management supports the following processes in flexible space and contract management:

Supervision of real estate you use yourself

Management of commercially-used real estate

Through optimization of contract management and significantly enhanced master data management, the following areas were created or improved:

Freely-definable spaces as rental objects (rental spaces) without mandatory assignment to rental units (especially useful for commercial rental, since objects can belong to different buildings or business entities)

Option of assigning multiple spaces to one contract (for example, retail space, office space and parking spaces)

Option to calculate or assign conditions based on fixtures and fittings characteristics, for example, or measurements, (for instance, lease-out of an office with special furnishings)

Pooled space as a superordinate rental object, from which you extract the rental spaces you need for your lease-outs

Time-dependent master data objects (validity period)

Depiction of real estate from an architectural perspective (Master Data in the Architectural View) using object types you define to suit your needs, with the option of linking to an external CAD system

Central SAP business partner management and central address management

Flexible Real Estate Management incorporates the following processes:

Contract Management

Using the new Real Estate Contract, you can manage all types of contracts related to real estate management, regardless of whether you are leasing out or leasing in, or if you are dealing with customer or vendor contracts. You can assign any number of rental objects from different business entities, buildings or company codes to one contract. When defining conditions and other contract rules, you can group the assigned objects together into object groups.

In Standard RE (up to and including Release 4.6C), you could make certain entries in the contract that applied to the contract as whole. In Flexible Real Estate Management, since you can assign more than one real estate object to a contract, you have to be able to specify this kind of information for the individual objects. It is not necessary to enter this information separately for each real estate object. Instead, you can group entries together in the form of terms (for example, see the Posting Parameters tab page).

Space Management

Space management offers you easy-to-use space and room management, in which architectural structures, usage considerations, and technical structures all receive equal consideration. You can create rental spaces when you create contracts. In addition, data exchange with external graphic systems allow you to visually represent your real estate objects.

Connection to FI

mySAP™ Financials Real Estate in SAP® R/3® Enterprise Financials Extension provides the accustomed integration with your existing R/3 Financial Accounting, giving you the same links to subledger accounts and to the general ledger. In the medium term, there will also be a general accounting interface that allows integration with other accounting software systems.

Service Charge Settlement

New features in service charge settlement:

Settlement in steps with the option to start again after each step
Simulation of settlements with all related reports
Storage of results without posting

Correspondence

All mass correspondence is created using SAP Smart Forms. For single letters, you can continue to use Microsoft® Word. Correspondence functions are available on all real estate objects, not just on the contract.

Unlike the previously used SAPscript technology, Smart Forms allow you to create your forms much more easily, and you can modify them to your own specifications without difficulty. Another advantage is that you can output Smart Forms to e-mail and fax.

Special functions for residential real estate management
General accounting software interface
Condominium Owners’ Association Management (COA) (planned for Germany only)
Land Use Management (LUM) (planned for Germany only)

Application

Search Function for Real Estate Objects. You can go directly to processing for another object by choosing this icon.

By choosing Show/Hide Locator, you can switch the Navigation Area off and on.

You can display or hide the information text (from the initial screen) by choosing this icon. You do not actually leave processing of the object when you display the information text.

You can switch back and forth between change and display modes. You stay on the current screen.

You can display the print view (Office Application)

Print function (Smart Forms Correspondence).

You can go to Microsoft ® Word word processing for the current real estate object. There you can select from a number of predefined forms. In Microsoft ® Word word processing, you modify the document to suit your needs.

This function is useful for generating master data sheets showing an overview of the master data of the object.

Errors can occur when you process master data objects. Unlike Standard RE, in Flexible Real Estate Management the system does not require you to correct the error immediately. The system writes the error to an error log, and issues an error message. You can call the Error List and correct any errors by choosing this icon.

Management of Time Slots

In Customizing, you can specify that certain rental object conditions are can be transferred to the contract. You can then call up these conditions in the contract using this Default Condition icon.
