Detail view

A rental object of the rental space type is a space with a size that can be determined when the rental space is extracted from a pooled space.

 

Prerequisites

You first have to create a pooled space that has the usage type you need (office, for example).

 

Detail View

You can create, change or display a rental space. Below is a description of how to create a rental space.

There are three ways of extracting a rental space from a pooled space:

Define rental space as a rental object

You create one or more spaces as rental objects. You have to define the size and type of space before selecting it directly from the pooled space. The system then creates the new space from the pooled space. The size (measurement) of the pooled space is automatically reduced by the size of the extracted space.

Define rental space in the contract

Process Contract

First you create a new contract. On the Objects tab, assign the objects to be rented to the contract. To do so, choose This graphic is explained in the accompanying text Extract Rental Spaces in the table.

You can also extract rental spaces directly from a pooled space (Rental Object Relationship tab). (see Procedure)

Create one or more rental spaces manually

Create rental space automatically by assigning part of pooled space to contract

NoteIf you wish to rent a complete pooled space (for instance, all offices in one wing of a building) to one tenant, you first have to create a rental space for the complete pooled space. A pooled spaced itself cannot be leased out as a rental object.

 

Procedure

To simplify the process, use the Create with Template function. This function creates a rental space, using the data of an existing one. You can change this data to meet the needs of the new rental space.

 

If you do not use the Create with Template function, choose This graphic is explained in the accompanying text Create -> Rental Space and the required usage type on the initial Rental Object screen. In the next screen you define the rental space.

 

      1.      Enter the company code, business entity, building or property, and in the Rental Object field the pooled space from which you wish to extract the space.

      2.      The external usage type and the measurement type (for instance, office space) of the pooled space are defaulted by the system.

      3.      Enter the date starting on which the space is valid. Enter the size of the space.

      4.      Choose This graphic is explained in the accompanying text Start.

      5.      In the table, the hierarchy of the pooled space This graphic is explained in the accompanying text is displayed with its validity date and available measurement This graphic is explained in the accompanying text.

       6.      Choose This graphic is explained in the accompanying text Execute. On the right-hand side of the screen you see a table. Pull the pooled space and its measurements into the table with Drag&Drop. You see:

§         Total area of the pooled space

§         One or more measurements (such as office space) defined in the pooled space with its total capacity, the amount for the rental space you want to extract and the measurement amount available after the extraction

The system shows a light bulb icon next to the main measurement. The default value is the measurement that you chose when extracting your rental space. You can change the main measurement in the Distribute Measurements section by choosing the rental space and clicking This graphic is explained in the accompanying text Execute. If you wish to change another measurement, click on the line in the empty Main measurement field until the light bulb is displayed. Now you can change the measurement.

 

       7.      To name a new rental space, double click on the Rental Space field in the Rental Spaces - Details field. You can then enter a name in the New Rental Space line below the table.

 

       8.      Choose This graphic is explained in the accompanying text Execute at the bottom of the screen. You now return to the Create Rental Space screen where you can enter further data such as conditions, posting parameters and settlement companies. You can see the measurement amount of the rental space on the Measurements tab.

The conditions belonging to the pooled space are inherited directly by the rental space.

NoteIt is not yet possible to make a direct link to a corresponding architectural object. You can only link on the level of the pooled space.

 

Assign Rental Space to a Different Pooled Space

You can assign the newly created rental space to a different pooled space (that has the same usage type) on the General Data tab page. Choose This graphic is explained in the accompanying text in the Identification group box.

 

Display Pooled Space

On the Rental Object Relationship tab page, the pooled space is displayed with its measurement amounts and validity period.
