An important goal of the planning grid is it to provide the user with a graphical overview of the current appointment schedule and free capacities of one or more organizational units (OUs).

You can also use the planning grid for the time-based planning of clinical order items and as an alternative to planning services.

Time-based planning is also possible for order items without services.

Note Note

In the planning grid you can also plan and display day-based appointments without quotas. Day-based planning in the planning grid is intended for all users in outpatient clinics and service facilities, in which long-term or day-based planning is common.

Note that an OU only has planning authority for day-based appointments if planning authority exists for time-based appointments on a specific day.

The planning grid is also available for the planning of group appointments in the context of SAP Patient Management (IS-H). Group Appointments in IS-H context are appointments in which several patients participate simultaneously, for example, physical exercise within a course of physiotherapy. You define these using the appropriate scheduling type.

When customizing an outpatient scheduling type (transaction ONDT) you can determine the permitted number of patients for each outpatient scheduling type in the Number of Patients column. The scheduling type is defined as a scheduling type for group appointments as soon as you enter a value greater than one in this column. When planning, you can book a time slot of this scheduling type with the number of patient appointments specified in this column. The checking and usage of the overbooking capacity only begins when a time area of this scheduling type contains the number of appointments which corresponds to the number of patients in customizing.

Note the following:

  • The concept of the IS-H group appointment intends that all appointments of a group start and end at the same time as the intended time period. It is possible to plan deviating appointments; however, the system will then not correctly count the group quota.

  • In IS-H the entries in the appointment, such as for example, the scheduling type, always override the entries in the time slot. The planning functions of i.s.h.med behave in the same way.

    You should take the following exception into account:

    i.s.h.med will continue to flag a time slot as a time slot for group appointments, if you plan an appointment within the intended time area with a scheduling type, which is not stored as a scheduling type for group appointments in the time slot. This means that the system will only take master data into account when indicating the time slot for group appointments.

System administration can customer-specifically change the display (color of shading) or the deactivation of the flagging of time areas for group appointments using the Business Add-In (BAdI) BAdI: Labeling of Free Appointments in Time Slot (N1_PG_LABEL_TIMESLOT). You can also call the planning grid directly in the clinical order. It is also available in views of the following view types in the clinical work station:

The system synchronizes the time slots in the planning tools in the same way as SAP Patient Management. In the display of time slots the planning tools react to short-term changes to the time slots such as, for example, the locking of a room. The system therefore displays the current state of the time slots.

Planning Grid Organization

The planning grid is divided into the following sections:

  • Worklist

    The worklist (incoming list) displays patients with their clinical order items, for whom an appointment must be assigned.

    When planning surgeries, the Appointment Planning view type does not display the anchor service of the surgery.

    Note Note

    The general procedure when planning services for a surgery (surgery services) is no different to the procedure with normal (non-surgery) services.

  • Appointment Oveview

    Below the worklist the planning grid will display a list of appointments and movements (planned and actual movement) planned for the patients in the worklist, in the Patient’s Planned Appointments screen area. The system will take into consideration all appointments and movements on the current day (system date) or which lie in the future, regardless of the times.

    Using this overview you can coordinate the appointments for a patient. It is irrelevant which OU the appointments are planned for, and also whether the current OU has planning authority for the treatment OU. As standard the system will sort the appointments in ascending date order, which means that the next appointment will be displayed in the first line.

    Determination and display of duration or end time of movements:

    • If the movement is connected to an appointment, the system determines the end time from the duration of the appointment, adding this to the start time (+ appointment duration).

    • If the movement is not connected to an appointment, the system will use the organizational unit-related parameter (OU parameter) N1COLLBWDR as the duration of the movement. See Organizational Unit-Related Parameters for Planning Grid

      System administration can customer-specifically set the display per patient with the SAP enhancement SAPN1TGP, function exit EXIT_SAPLN1ANFTREE_001 (identical for the planning grid and day-based planning).

  • Overview Calendar

    The overview calendar shows the annual calendar. The system will display the current calendar day in bold so it is easily recognizable. Using the time grid you can display the current date. See also user parameter N1PT_CAL_DATE.

    The system displays Saturdays, Sundays and public holidays in red.

    To toggle to a different day in the time grid, you simply click the desired day with the mouse.

  • Time Grid

    The planning grid will display a time grid with the currently planned appointments and the remaining free appointment capacity of one or more organizational units.

    Below the time grid you can display a comment area for the resource where you can enter comments on the resource. See also user parameter N1PT_VIS_COMMENT.

Features

In the planning grid the user can execute the following functions for appointments at the level of the OU, room, and personnel resources:

  • Plan Appointment (Create)

  • Change Appointment

  • Display Appointment

  • Cancel Appointment

  • Find Appointment

  • Enter team (menu: Start of the navigation path Goto Next navigation step Team Entry End of the navigation path)

  • Call Clinical Order (also possible for appointments that have not yet been planned)

  • Call Request

  • You can create an appointment, for example an appointment without a service, by double-clicking an appointment in the planning grid.

    Note Note

    Both personal resources (planning object) and building units can be assigned to several organizational units (multiple assignment). This means you can offer the same appointments of a person or a room for several organizational units. The system indicates the appointment reservations of a personnel resource or a room in all organizational units (OUs), for which this person or room offers appointments.     The planning grid therefore displays a planned simultaneous parallel appointment of another OU for this person or this room in another OU in brown. In the case of a simultaneous appointment in another OU, the system will display the patient name, the service, and a performing OU.

    You can plan appointments for personnel resources in outpatient clinics and service facilities. If you use the planning grid using the Appointment Planning view type, you cannot plan appointments for personnel resources.
