The time grid of the planning grid displays the appointments which are currently planned and the available time slots of one or more organizational units (OUs) or personnel resources.

Each OU can plan appointments for itself and/or for other OUs. The system provides definition possibilities for the planning authority, i.e. which treatment OU or which rooms or personnel resources a planning OU can access. According to these definitions the time grid displays one or more OUs.

Note that it is not possible to plan personnel resources for surgeries.

Structure

The time grid is structured with tab pages, whereby you can toggle between the following displays using the menu or - (Tab Pages for) (-):

  • Date: Day-related display for coordinating the appointments of several OUs

    The planning grid displays one tab page for each day. Each tab page contains an appointment plan for the OUs and all planning objects (e.g. persons) on this day.

  • Organizational Unit: OU-related display for planning over several days for each OU

    The planning grid displays one tab page for each OU. Each tab page can contain several days or several planning objects (e.g. rooms).

  • Planning Object: Planning object-related display for planning by room or person

    The planning grid displays one tab page for each planning object. Each tab page can contain several days and several OUs.

    You should note that you can only toggle between the listed presentation modes if you do not use display variants. A display variant is available for exactly one presentation mode.

The time grid differentiates between the following areas, which are displayed in different colors:

  • For time-based appointments:

    • Working hours of the OUs, for which appointments should be planned.

      Free areas with planning authority and time slots for which appointments can be planned, are displayed in dark green.

    • Time areas, which are available to the planning OU when planning appointments are displayed in dark green. This can be all the OU's hours of operation or just a partial quantity.

      Example Example

      The Radiology service facility generally only plans appointments for itself, but can also plan appointments for a patient on Monday and Tuesday from 8:00 until 12:00 in the CT service facility.

    • Areas which are part of an appointment plan are indicated by a vertical orange bar.

    • Shaded area indicates that the time area is intended for group appointments.

    • Appointment proposals are light blue.

    • The time area which contains a time slot and planning authority (scheduling type has a lock indicator) is displayed in red.

  • For time-based and day-based appointments:

    • Area for Day-Based Appointments

    • Working hours of the OUs, for which appointments can be planned.

      Free areas with planning authority but without time slots for which appointments can be planned, are displayed according to the color scheme set in the SAP GUI (variable colors).

      Note Note

      There are never time slots for the free area for day-based appointments.

    • Free areas without planning authority and without time slots (appointments cannot be planned) are displayed according to the color scheme set in the SAP GUI (variable colors).

    • Planned appointments (“Planned“ status) are displayed in yellow.

    • Planned appointments ("Planned" status), which are displayed but for which no planning authority exists, are displayed in light yellow.

    • Appointments which are already connected with a movement in “Actual” status, are displayed in gray.

    • Appointment reservations of a resource of the room or person type in another OU

      When planning an appointment, the planning grid will display a parallel appointment in a different OU (shadow appointments) in brown. In the case of a simultaneous appointment in another OU, the system will display the patient name, the service, and a performing OU.

    • The time area which contains a time slot and planning authority (scheduling type has a lock indicator) is displayed in red.

  • Saturdays, Sundays and public holidays (dates are displayed in red)

    If the system administrator has set the Time Slot Valid on Public Hols indicator for the planning object, the available time slots of the planning grid will also appear for Saturdays, Sundays and public holidays.

The system displays the time grid in the same way for all OUs/days, which means that the time intervals are displayed with the same increments and always begin at the same time.

The time grid displays each planned appointment as a box: the upper edge of the box is the start time of the appointment, and the length of the box represents the duration of the appointment in minutes.

Note Note

The columns of the planning grid display the time slots for planning objects (e.g. rooms) and also a time slot for the OU itself.

If, for example, you display two rooms of an OU in the columns of the planning grid, the planning grid will also display a column for this OU. This means that you can plan an appointment in a room of this OU, but also for this OU in general (OU column).

System administration can freely configure the headers in the time grid using a Business Add-In (BAdI).
