Creation of Distribution Items

Purpose

This process describes how distribution items are created.

Prerequisites

A distribution item is to be created for an ad pre-print that is distributed in all carrier routes within a city.

You have created distribution booking units in the product master data and generated any work areas required for booking unit hierarchies.

You assigned a planned circulation quantity to basic booking units for each planned quantity type when you created the distribution booking units.

Process Flow

  1. Indicate whether the distribution booking unit is booked fully or selectively.

  2. A distribution booking unit is booked fully if the entire planned circulation quantity for the booking unit is used. It is booked selectively if this is not the case.

The planned circulation quantity is identical to the distribution quantity. The system determines the distribution quantity using the planned quantity type from the basic booking unit master data.

If a booking unit is fully booked, its distribution is assigned uniquely.

If you are using a booking unit that is booked fully, the ad insert is positioned at this stage.

See also: Booking and Positioning (DT)

  3. If you enter a combined booking unit that is booked selectively, its distribution is not assigned uniquely.

  4. You must therefore specify here which of the lower-level booking units are to be booked.

Orders are not usually entered for a basic booking unit that is booked selectively.

See also: Booking and Positioning (DT)

You do not require a business content component to plan a distribution item. A business content component can be entered if you want to influence pricing.

See also: Entry of Content Components

One booking unit and one date can be entered for a distribution item.

See also: Entry of Booking Units

    See also: Entry of Dates

If an ad insert is to be distributed amongst several dates such as every Monday in November, you must enter a distribution item for each of these dates.

Positionings can be copied to accelerate entry of orders with identical positionings but different publication dates.

Copy the schedule line with the positioning that you want to copy using the Create item with template function and generate a new item. If you choose a copying variant for which the Change date indicator has been selected, you can specify a publication date on the New item attributes dialog box when you create a new item. The system creates the new ad insert item with the booking unit and positioning from the copied schedule line.

  5. Enter the data for the ad insert.

Ad inserts describe advertising media that are sent with or without reference to a carrying publication such as ad pre-prints, catalogs, postcard CDs or trial samples.

They are created with or without reference to the media product master.

If an ad insert with identical data has already been entered for a sales document, you can assign this ad insert to the current item or copy the ad insert data.

Result

The distribution item has been created.

Distribution items are required to manage distribution orders. This includes distribution shipping, determination and settlement for sales agents and contracts and invoice creation.

If you are using the Media Sales and Distribution component to manage distribution shipping, an explanation of the integration between the Advertising Management and Media Sales and Distribution components is available in the Distribution Shipping process documentation.
