Booking and Positioning (DT)

Use

This function is used to book distribution booking units and position ad inserts.

Integration

It is part of order entry and is available to you during creation and modification of distribution items.

If you are using the Media Sales and Distribution component to manage distribution shipping, the system only takes account of the quantity data from this component when it generates deliveries in the standard configuration. The system does not evaluate any quantity information from the Advertising Management component for distribution order entry during shipping. A selective booking and quantity information are not taken into account in the in Media Sales and Distribution component during shipping if deliveries have not been changed or the system is not modified.

Prerequisites

Distribution items are to be booked and ad inserts positioned.

A combined booking unit is to be booked selectively and the lower-level booking units to be booked defined during this process.

A combined booking unit that is booked selectively would be used if a customer and a competitor have territorial agreements and the customer requests direct-distribution advertising in every carrier route in a city and not just those carrier routes in which direct-distribution advertising from the competitor is distributed.

You have assigned planned circulation quantities to the distribution basic booking units in the product master data for each planned quantity type.

Features

A distinction is made between a full booking and a selective booking.

A distribution booking unit is booked fully if the entire planned circulation quantity for the booking unit is used. It is booked selectively if this is not used.

During booking of a distribution booking unit, the system determines the distribution quantity using the planned circulation quantity that you have assigned to the basic booking unit master data for each planned quantity type.

Full booking

If a booking unit is booked fully, the distribution quantity determined by the system can be retained.

The planned circulation quantity from the product master data is displayed in the Distribution quantity field on the Details tab page at item level . The system determines the delivery and calculation quantity, which are identical to the distribution quantity.

Ad inserts are positioned by virtue of booking in a booking unit that is booked fully. This is a unique positioning and the Distribution positioned indicator is selected at sub-item level.

Selective booking

Orders are not usually entered for a basic booking unit that is booked selectively.

If you enter an order for a combined booking unit that is booked selectively, you cannot copy the distribution quantity determined by the system.

To book a combined booking unit selectively, select the Selective booking indicator on the Details tab page and press the Position button. During positioning, you specify the lower-level booking units in which the ad inserts are to be distributed. The system adjusts all quantity information on the Details tab page when you confirm your entries.

If you book a combined booking unit selectively, the positioning is not unique. You must therefore specify which of the lower-level booking units are to be booked. You can for instance stipulate that one of the lower-level combined booking units and one of the lower-level basic booking units is to be booked. The Distribution positioned indicator is not selected at sub-item level until the ad insert has been positioned.

Enter items with identical positionings

Positionings can be copied to accelerate entry of orders with identical positionings but different publication dates.

Copy the schedule line with the positioning that you want to copy using the Create item with template function and generate a new item. If you choose a copying variant for which the Change date indicator has been selected, you can specify a publication date on the New item attributes dialog box when you create a new item. The system creates the new distribution item with the booking unit and positioning from the copied schedule line.
