During order entry, ad inserts are assigned once ad insert items have been planned and booked.

Prerequisites

Ad inserts are to be assigned to ad insert or distribution items. An ad pre-print that has already been assigned to an ad insert item in the sales document is to be assigned to another ad insert item in this document.

You have created ad inserts in the current sales document.

Basic principles for assigning ad inserts

An ad insert can be assigned several times within the sales document in which it is created. It cannot however be assigned in a different sales document.

An ad insert can be assigned to an item, sub-item or schedule line.

Only one ad insert can be assigned to each item, sub-item or schedule line. Various ad inserts can be assigned to the sub-items and schedule lines in an item.

Create ad insert splits

An ad spec split is created by assigning various ad inserts to the sub-items and schedule lines in an item.

You can only enter one publication date for ad insert and distribution items. You cannot therefore enter a date-related ad insert split.

If a customer requires a different ad insert to be published in each carrier route or in each local issue of a daily newspaper, you should assign the ad inserts to the item at sub-item and schedule line level. This is known as a regional split.

Booking a combined unit fully or selectively controls whether a regional split is created a sub-item or schedule line level.

  • The system generates one sub-item and one schedule line for each basic booking unit that is booked for a full booking. In this situation, you must create the regional split at schedule line level.

  • The system generates one sub-item for each booking unit that is booked and one schedule line for each basic booking unit that is booked for a selective booking. In this situation, you can create the regional split at sub-item level.

Settlement by ad insert types is not possible during billing for ad insert and distribution items. This means that the system ignores any ad insert type assignments to these items that were made in order entry during billing.

If you assign an ad insert to a sales document, this assignment is inherited as follows:

No alternate ad insert has been assigned to the sub-items and schedule lines in the item.

This ad insert is assigned to the item and all sub-items and schedule lines in this item.

An alternate ad insert has been assigned to at least one sub-item or schedule line.

You can decide whether you want to overwrite the existing assignment.

If you do so, the ad insert is assigned to all sub-items and schedule lines in the item. If you do not overwrite this assignment, the ad insert is assigned to all sub-items and schedule lines in the item to which no alternate ad insert has been assigned.

Assign an ad insert to a sub-item

No alternate ad insert has been assigned to schedule lines in the sub-item.

The ad insert is assigned to the sub-item and its schedule line.

An alternate ad insert has been assigned to at least one schedule line in the sub-item.

You can decide whether you want to overwrite the existing assignment.

If you do so, the ad insert is assigned to all schedule lines in the sub-item. If you do not overwrite this assignment, the ad insert is assigned to all schedule lines in the sub-item to which no alternate ad insert has been assigned.
