Purpose

The processes for generating reports and shipping reports depend on whether reports contain specification data. The various areas of use for reports are dependent on:

You can define other report applications in the IMG activity Specify Report Applications in Customizing for Product Safety.

In Customizing for Product Safety in the IMG activity Specify Report Categories, the business process that together with the cause of shipping forms the shipping reason is assigned to the report category. You control report shipping via the shipping reason.

You create specification symbols, for example, in the layout of the document template.

You do not create specification symbols in the layout of the report template, but you create symbols of another report application (for example, Work area or Person who had accident).

You assign the released document template and a suitable report category to a generation variant. The generation variant is therefore also valid for the report application Specification master and applies, for example, for reports of the report category Material safety data sheet.

You can further restrict the use of the generation variant.

You execute the first stage of the generation and generate a report for a specification with the generation variant: on the report, the symbols for phrases and specification data are replaced by actual data.

The first stage of generation is not executed.

The report passes through the report application status network, depending on the generation variant indicators.

The generation variant indicators have no significance.

The report does not appear in report management.

The report must be released before it is available in the report information system.

Immediately after you have assigned a suitable generation variant to the released report template, the report template is handled as a released report and is available in the report information system.

Report shipping can be manual or automatic. When shipped, the parameter symbols are replaced with actual data.

Report shipping is always manual.

When the final report is generated, all symbols (phrase symbols and parameter symbols) are replaced with actual data.

These include reports for the report application Specification master and Material master that have, for example, the report category Material safety data sheet.

Note

Labels can be with or without a specification reference. Labels that are loaded with the Labeling Tool cannot be exported, sent, or printed via the R/3 spool.

Reports without Specification References

These include reports for the report application Person who had accident that typically have the report category Accident report. These are reports for the SAP component Industrial Hygiene and Safety.

When you call the report information system for the report category Accident report, the report is displayed in the Person who had accident view for the object Accident event. The object Accident event is made up of the incident/accident log entry and the address number of the person who had the accident.

In order that the accident report data is displayed in the report information system, you must have saved in the incident/accident log in the Incident/Accident Log: Edit Person-Specific Data screen. To do this, in the SAP R/3 screen choose Logistics ® Environment, Health and Safety ® Industrial hygiene and safety ® This graphic is explained in the accompanying text Incident/accident log and enter search criteria for an incident/accident log entry. For the log entry, choose This graphic is explained in the accompanying text and on the Involved tab select a person involved who is assigned the role of Person affected. Choose This graphic is explained in the accompanying text and then This graphic is explained in the accompanying text. The Incident/Accident Log: Edit Person-Specific Data screen appears. Enter data as required and choose This graphic is explained in the accompanying text and then This graphic is explained in the accompanying text.

Reports with or without Specification References

These include reports for the report application Work area that typically have the report category Standard operating procedure. These are reports for the SAP component Industrial Hygiene and Safety.

In the exposure profile, you can assign agents or real substances to each work area. For technical reasons, the agents are created as specifications in the system and are classified as agents by their assignment to the specification type.

Triggering Shipping from the Report Information System

In the report information system, you can select the reports using search criteria. The search result is displayed as a report tree.

You can trigger report shipping manually from the specification information system report tree. See Manual Report Shipping and Creating Report Shipping Orders Manually.

After you have triggered shipping of a report, the report shipping order is available for display and editing (see Processing Report Shipping Orders).
