Procedure documentationOrdering Cyclical Services

You can order cyclical services in the clinical order. For specific treatments such as, for example, in physical medicine and rehabilitation or dialysis, services must be ordered in cyclical intervals.

Prerequisites

  1. You must assign the Services application component to the order type in Customizing under Start of the navigation path Industry-Specific Component Clinical System Next navigation step Clinical Order Next navigation step Clinical Order Basic Data Next navigation step Set Up Order Types for Clinical Order End of the navigation path.

  2. In order to be able to order cyclical services, the following conditions must be satisfied:

  3. The business function Clinical System Situation Based Clinical Documentation (SHMED_SCD) is activated.

Procedure

  1. You create a clinical order. See Create Clinical Order

  2. In the dropdown menu choose the Cycle (Cycle) function.

In the clinical order the Cycle (Cycle) function is available at item level in the dropdown menu, which you can use to select a cycle or create a new cycle.

    Note Note

In Customizing under Start of the navigation path Industry-Specific Component Clinical System Next navigation step Clinical Order Next navigation step Clinical Data Basic Data Next navigation step Configure Order Types for Clinical Orders End of the navigation path the Cycle Input Active indicator is available on the Other tab page in the Presetting group box. If you set this indicator the system will preset the dropdown menu in the clinical order for appointment, movement, appointment proposal, cycle input, with the cycle input.

    End of the note.
  3. As soon as you have selected the Cycle characteristic in the dropdown menu, the following tab pages are available:

    • Ordered Services tab page

This tab page displays all services which are ordered within a clinical order. If you select the Cycle characteristic in the dropdown menu, you can enter services in the Services application component. See Services Application Component (Item Component)

    • Individual Services tab page

On this tab page the system displays the services which result due to the cycle, which should be then performed by the service performer. The system displays all services which are entered on the Ordered Services tab page, on the Individual Services tab page.

  4. Now enter a cycle on the Ordered Services tab page or at item level.

    • If you determine a cycle at item level, all plannable services will receive the selected cycle. If several services are ordered and one should be subject to another cycle, you can change this in the service component. See Services Application Component (Item Component)

On the Ordered Services tab page the system presets the start date and the start time. However, you can also change this manually.

    • If you have not yet defined a cycle, you can use Cycle (Cycle) to select a cycle. If you have already determined a cycle, you can use this function to access cycle definition to change the cycle.

    • If a cycle has already been entered, you can replace this current cycle at item or service level using the input help. The cycle to be replaced (e.g. the cycle changes during the treatment) is ended and any existing plannable services are canceled.

    Caution Caution

If you order cyclical services and set the wrong cycle end date, the system may generate too many or not enough services. It is also possible that, in case of automatic service generation, services may not be updated due to lock entries for objects.

Too many or not enough treatments or examinations could be executed for the patient.

In order to avoid this, you should proceed as follows:

    • For treatments or examinations which may no exceed a specific maximum number, you should use the option of specifying a maximum number of services to be generated during ordering.

    • For treatments or examinations which should continually be performed, leave the end date of the cycle blank or set the date of the patient's discharge.

    • The report available for automatic generation should be called often in batch mode, in order to minimize the possibility that objects are locked at time of execution.

    End of the caution.
  5. On the Ordered Services (Ordered Services) tab page you can choose Generate to multiply an ordered cyclical service (= ordered service with a cycle) according to the cycle definition. The system generates the individual services for the generation horizon (OU parameter N1CCYGH) and displays these on the Individual Services tab page. See Organizational Unit-Related Parameters for Clinical Orders

    Note Note

The system does not generate individual services for times which lie in the past.

Note that the system can only generate once for a time area (time area = system time at time of generation + generation horizon).

Automatic generation via report is also available for generating cyclical services. The report RN1_CCYCLE_GENERATE is available for continually updating individual services. See Report for Cyclical Generation of Individual Services

    End of the note.
  6. Note the following special features:

In the clinical order you can enter cycles for items and services in collective mode. Note that manual generation is not possible in collective mode.

See Create Several Clinical Orders in a Collective Order

    Note Note

To create cyclical individual services according to the cycle information, you must generate them. The services method -> GENERATE_CYCLE_SERVICE is available for this purpose. See Services Application Component (Item Component)

In order to be able to allocate appointments for ordered cyclical services, a connection to the Planning component is available. See Time-Based Planning of Order Item with Planning Grid

    End of the note.
Effects on Performance

Note that a great number of services can have an affect on performance. We recommend that not more than 100 generated cyclical individual services should be ordered for each order.
