Derivation of Qualifications from Training Data

Use

You can use the Derive Qualifications application to derive qualifications and assign them to a person as part of the process for updating qualifications using training data that is stored in infotype 0806 for that person.

The system stores the assignments of qualifications to persons that have been derived in this way as relationship B032 in infotype 1001 (also displayed via infotype 0024).

Integration

This function uses objects of type “qualification” in the Personnel Development component .

Prerequisites

You have mapped the qualifications that you want to derive from this training data using the functions in the Personnel Development component.For more information, see the Implementation Guide (IMG) under Start of the navigation path Personnel Management Next navigation step Personnel Development Master Data Edit Qualifications Catalog. In the Implementation Guide (IMG), you have specified which qualifications are to be derived from which training data of infotype 0806. For more information, see Overview: Customizing and Assignments . Multiple qualifications can be assigned to one training program, and one qualification can be assigned to multiple training programs.

If required, you have set up the functions for system-generated notifications about new training data.

Infotype 0806 contains training data that is not yet flagged as complete that you have either copied or created manually .

Features

User Interface

You can use the following selection criteria to select the training data in the Derive Qualifications application from which you want to derive qualifications.

Period

Enter the period of time that you want the selected training data to be in. Alternatively, you can restrict the selection using the validity period of the persons with the Person Selection Period fields.
Selection

You can select training data about the HR assignments of persons. You can choose Further Selections to select additional selection options if necessary.

Once you have made your selection, in the Qualifications: Details view, the system first displays for each person the qualifications that you can currently derive from training data in infotype 0806 because they are still not yet flagged as completed .

Displays whether it is necessary to derive the qualification from the training data:
- New Qualification
  
  The qualification is not yet assigned to the person.
- Qualification Already Exists
  
  The qualification is already assigned to the person. The assignment is currently valid .
Level of Qualification

Shows the extent to which the training activities that are specified in the basic training data meet the training requirements that are specified in Customizing (total of all values for a training program compared to individual value display in the Training Programs: Detail s view):
- Qualified
  
  The training activities entered meet the requirement.
- Qualified with Restriction
  
  The training activities entered meet the minimum requirement only.
- Non-Qualified
  
  The training activities entered do not meet the minimum requirement.

In the Trainings: Details view, the system shows which training data in infotype 0806 forms the basis of the selected qualification in the Qualifications: Details view:

Specifies whether you have already identified the training data in infotype 0806 that forms the basis of the qualification as completed ( Completed indicator).
- Training Data Completed
  
  You have flagged the training data as completed either manually or by deriving a qualification. This means that the data is no longer available for further derivations.
- Training Data Not Yet Completed
  
  You have not yet flagged the training data as completed and it can be used to derive further qualifications.

Level of Qualification

Shows the extent to which the individually specified training activities meet the training requirements that are stored in Customizing (compare with the total values display for overall qualification in the Qualifications: Details view):
- Qualified
  
  The training activities entered meet the requirement.
- Qualified with Restriction
  
  The training activities entered meet the minimum requirement only.
- Non-Qualified
  
  The training activities entered do not meet the minimum requirement.

Activities

To derive qualifications from training data, select the following functions:

Call up the Derive Qualifications application (transaction QGEN).
Specify the required selection criteria and choose Execute .

The system displays the Qualifications: Details and Training Programs: Details views.

You now have various options for displaying and editing data.

Display

To display the basic training data for a qualification, select the required qualification in the Qualifications: Details view and choose Details .

In the Training Programs: Details view, the system displays the training data.
To display all further qualifications for a person named in the Qualifications: Details view, select the required person and choose Display All .

Deriving Qualifications

To derive qualifications, select the required qualification in the Qualifications: Details view and choose Derive Qualifications .
1. Specify the required validity of the assignment of the qualification to a person. The possible validity period is restricted as follows:
  - The start date is restricted by the start of the validity period of the qualification and of the person.
  - The end date is restricted by the validity of the qualification and the end of the validity period of the qualification and the person.
2. Enter a note if required.
3. Specify a characteristic value.
4. Select one of the processing options:
  - Derive
    
    Choose this function to derive the qualification without marking the underlying training data in infotype 0806 as completed.
    
    The training data is kept even when the worklist is refreshed and can be used to derive other assigned qualifications.
  - Derive and Complete
    
    Choose this function to derive the qualification and mark the underlying training data in infotype 0806 as completed .
    
    When the worklist is refreshed, the training data is no longer available to derive other assigned qualifications. If required, the system displays a warning that further qualifications can be derived from this training data.
To identify training data in infotype 0806 as completed without deriving corresponding qualifications, select the relevant line in the Training: Details view and choose Complete Training Data .

You can also select or, if necessary, deselect, the corresponding Completed indicator manually using the Personnel Master Data application (transaction PA 30) in infotype 0806. For manual changes like this, you can send a relevant notification directly from the infotype.
