Use

You can open queries or workbooks with the open functions on the analysis toolbar or the BEx Analyzer menu. The Open dialog box itself is a general service shared by Business Explorer applications, but there are some features surrounding open functionality that are specific to BEx Analyzer.

Open features and background relevant for BEx Analyzer are discussed below.

Open Query

You can open a query from a BI system using this function.

When you open a query, it is embedded into the workbook you have currently defined as default (see Current Default Workbook in the Global Settings dialog box). By default, you see a navigation pane and an analysis grid embedded in a Microsoft Excel worksheet. The query is automatically executed and the current state of the result is returned from the server. You can then navigate the query by using the navigation pane and analysis grid.

Typically, a power user will open a query and work in design mode to customize an interface for it, and then save it in a workbook with which an end-user can later perform analysis. In this way, the power user determines the extent to which the end-user can interact with and navigate the query.

You may also create a new query by launching the Query Designer from the BEx Analyzer analysis toolbar.

Open Workbook

You can open a workbook from a BI system using this function.

A workbook delivers the interface for your query. In a workbook, you can embed design items and customized macros, and you can format its appearance for a highly customized look and feel. The end-user will typically open a workbook and navigate within it execute its queries and see current data.

You can customize workbooks and then set them to default, so that subsequent queries open into that workbook (see Current Default Workbook in the Global Settings dialog box to learn how to set a workbook to default.) You must open a workbook from a BI system (rather than locally) in order to set it to default.

You can open workbooks from your local file system or create new workbooks using Microsoft Excel's Open and New commands.

Local History

You can easily access recently opened workbooks or queries using the local history, which is a submenu on the Open tool. The number of workbooks or queries displayed in the local history is determined by the Maximum Number of Objects in Local History setting in the Global Settings dialog box.

Activities

      To open a query, choose Open Open Query in the analysis toolbar, or BEx Analyzer Open Query in the menu.

      To open a workbook, choose Open Open Workbook in the analysis toolbar, or BEx Analyzer Open Workbook in the menu.

       If you set the flag Support Single Query Refresh in the workbook settings, you can use the context menu to define whether you want to refresh all the workbook queries or only one workbook query when you open the workbook.

       If you set the flag Refresh Workbook on Open in the workbook settings, all the queries are refreshed when you open the workbook.

       After opening the workbook, you can use the analysis function Refresh / Pause Automatic Refresh to get the most current data of your BI system.

To open a recently-opened workbook or query from your local history, choose Open  [Name of workbook or query] from the analysis toolbar.

      If you are not connected to a system first, after you choose a BEx Analyzer open function the SAP Logon dialog box appears. After you select and log on to a system, you proceed to the common Business Explorer Open dialog box.

Note

If you are already connected to a system and wish to open a query or workbook from a different system, disconnect first (see Connect / System Information) and then use the Open function.

      To open a workbook from your local file system, choose File  Open from Microsoft Excel's menu.

      To create a new workbook, choose File New in the Microsoft Excel menu, and select Blank Workbook. When you then save the workbook using Save on the BEx Analyzer analysis toolbar, if you are not already logged on to a BI system, you will be prompted to log on via the SAP Logon dialog box.
