WWI: Inserting Phrases

Prerequisites

You have started the version of Microsoft Word modified by WWI (see Starting and Closing WWI).

You want to insert phrase texts, phrase codes, phrase graphics, the language of a phrase, or comments on phrases. The corresponding phrase data must have been created in SAP phrase management.

You have decided to use the Insert phrase method (see Selecting Methods for Entering Data).

You must specify whether you want to insert a phrase in a report template or a cover sheet template as the expansion time as it is different for each type of report.

The standard symbol names (symbol keys) are as follows in the standard:

Phrase graphic	LABEL_GRAP	LABEL_GRAP

Procedure

Position the cursor at the point where you want to insert the phrase.

Choose WWI ® Insert Phrase.

The Phrase Search dialog box appears.

Symbol name

Select the appropriate symbol name, for example, EHS_L_TEXT (phrase text)

Phrase library

Key for the phrase library, for example, CED

Note

Using the IMG activity Import Sample Templates you can set up your own sample phrase library.

Phrase group

Key for phrase group

Filter

You can search for the text of the required phrase:

The search is case sensitive.

Generic entries using wildcards (*) are possible, for example, *aid* would yield the following phrases:
First aid: General information
First aid eye
First aid skin

Choose Search.

The system lists all phrases that fulfill the search criteria in the Filter field for the selected phrase library and group.

Position the cursor on the required phrase and choose OK.

Word inserts the symbol for the phrase in the report template.

Note

If the phrase is not found when the report is generated, the entry is output as follows:

If you want to insert the phrase text, phrase code, or phrase graphic of a phrase-related characteristic, follow the procedure used for symbol type Symbol. You use the expansion mode to control whether the phrase-related characteristic is output as a phrase, code, or graphic (see WWI: Inserting Symbols).

If you want to edit symbols subsequently, position the cursor within the symbol and choose WWI ® Edit Symbol or Phrase.
