Purpose

The information system is a tool with which you can run searches, create evaluations, and check the status of processes.

The following table shows which sources of information it contains.

Recommendation

Note the documentation for the reports in the SAP System. To call the documentation, position the cursor in the information tree on the required report and choose Goto ® Documentation.

You can find out the technical name of the reports by choosing Settings ® Technical names on/off in the information system. In addition to the node descriptions, the technical object names are then also displayed.

Work area information

By combining different search criteria you can run detailed searches for work areas. For example, you can search for the work areas in a specific plant in which a certain agent is present.

Risk assessment information

This information function allows you to determine the current status of risk assessments. You can limit the scope of your queries using search criteria, for example, for specific work areas, agents, or due dates.

You can also create an overview of agents and safety measures. You can run this evaluation for work areas and for persons.

Amount overview

You use the amount overview to list measured values and other amount information on agents occurring in work areas in the form of an overview.

You can also include reference values in the list. These are taken from the data entered in specification management for the agent. The prerequisite for this is that you have made the necessary settings in Customizing for Industrial Hygiene and Safety under Specify Measurement Items.

Hazardous substance register

With the hazardous substance register you can output an overview of dangerous goods-relevant information on materials that are used or stored in work areas. You can also obtain information on material stocks and goods movements.

The list is displayed in an adaptable form that you can export into various formats.

The information listed in the hazardous substance register is taken from the following applications or objects:

  • SAP EH&S specification management (dangerous goods-relevant data)
  • Storage locations that are linked to the respective work area by means of the data integration function (material stocks)
  • Inventory management in the SAP Materials Management component (goods movement data)

Prerequisites

You must have performed the following activities for the system to be able to read out the information listed:

  • You must have created the various hazardous substances (agents) in specification management and assigned them a material.
  • You must have assigned the agents in risk assessment to the individual work areas.
  • If statements on R phrases, S phrases, hazard symbols, and the water pollution class are to be made, you must have specified them in specification management.

If statements are to be made on warehouse stocks, goods receipts, and goods issues, you must have entered the relevant values in the amounts.

Information functions and evaluations for incident/accident management

Using the information functions you can, for example:

· Search for specific accident events using search parameters

· Determine recordable accidents for which no accident report has been created

The evaluations (reports) provide the following information, for example:

· Absences that were changed by the SAP Time Management component

You can determine which absences created in incident/accident management were changed by the Time Management component. You can transfer any changes to absence times directly to the relevant incident/accident log entry if you wish. If other data in the absence record was changed, you cannot transfer the changes automatically. You can, however, send a message to the person responsible in incident/accident management by e-mail.

· Statistical data, such as 1000-employee quota or 1,000,000-hour quota

You will find detailed information on the selection options and the data that the system evaluates in the documentation for the reports.

You can export the results of these evaluations to various formats, such as Microsoft Excel.

Evaluations of safety measures (such as list of open safety measures)

You can make evaluations in all areas in which industrial hygiene and safety measures can be created, that is in work area management, risk assessment, and incident/accident management.

If you differentiate your queries using the status, you can, for example, output a list of open safety measures.

Evaluation of completed questionnaires

You can display the answers from already completed questionnaires.

Criteria for restricting the selection are according to assignment category, question catalog, catalog group, and catalog entry. If Structure linkanswer criteria exist for the evaluated questions, these are also evaluated.

Display all versions

Under the Tools node of the information tree, you can determine which versions of objects in Industrial Hygiene and Safety exist in the system. The evaluation is possible for the following objects:

  • Work area
  • Risk assessment
  • Incident/accident log entry
  • Injury/illness log entry
