A person who contributes or has contributed to the creation of goods and services within the enterprise. As a rule, this occurs on the basis of a work contract or a contract for services.

In the components of SAP ERP Human Capital Management (for example, Personnel & Organization, Organizational Management, Personnel Administration, HR Administrative Services, Time Management), the employee is represented by the object type P (Person). The ID of the Person object type corresponds to the personnel number of the employee in the enterprise.

The SAP components also support concurrent employment of employees. For this purpose, the data model uses an additional object type, Central Person (object type CP), to which the external person ID is assigned. In concurrent employment, the object type P no longer refers to the employee since this no longer corresponds to the natural person; it refers to the personnel assignment instead. In the personnel assignment, the object type Central Person (CP) corresponds to the natural person. In this case, multiple objects with the object type P (personnel assignments) are assigned to an object with the object type Central Person. Structure

Basic Data

The system stores the employee's master data and characteristics in the infotypes of the SAP components Personnel Administration, Time Management, Payroll, and Benefits.

The basic data (and thereby the existence of an employee) is defined in the Personnel & Organization component when hiring an employee using a hiring process in which the personnel number is created. In addition, the most important master data such as the organizational assignment (infotype 0001), the personal data (infotype 0002), and addresses (infotype 0006) is defined during the hiring process.

You can use country-specific processes, country-specific infotypes, and localizations of infotypes (for example, country-specific input screens for address data) to enter the employee's master data and characteristics so that it is country-specific.

  • Personnel number / data storage

    A personnel number uniquely identifies an employee. The assignment of all other object properties (via infotypes) is made using this object ID. When the employee is hired, the personnel number is assigned, assuming that an internal number range is used. You cannot change this number. In Customizing, you can determine the available number range intervals. If you want to assign the numbers yourself, use an external number range. Alternatively, you can use an internal number range so that the system automatically assigns the personnel number for you. You make the settings in Customizing for Start of the navigation path Personnel Management Next navigation step Personnel Administration Next navigation step Basic Settings Next navigation step Maintain number range intervals for personnel numbers End of the navigation path.

    If you use the Roadmap Form, and your system has been configured for the assignment of internal and external numbers, then you'll see the block,Personnel Number Assignment Dependent on Organizational Assignment in the step General Process Data.

    In this block,Personnel Number Assignment Dependent on Organizational Assignment, you have the Personnel Number field. If you use external numbers, you enter the personnel number yourself. The system validates this number against the external number range defined in Customizing. If internal numbers are being used, the system generates the personnel number.

    Note Note

    You'll not see this block when your system configuration uses only the internal number range for generating personnel numbers.

  • Object type/data storage

    From a technical perspective, the system identifies employees using the personnel number, which is adopted by object type P as the ID.

  • Employment status

    During the hiring process, in addition to the personnel number, the employee receives the employment status Active, which starts on the hiring date.

    During the termination process, the employment status is changed to Inactive.

Short Profile

By default, an employee's short profile displays the following data for the specified date:

Note Note

When a HR professional or administrator updates a profile photo using the transaction OAAD, he must execute the report RPTMC_INDEX_EE_PIC_URL_TO_INDX for the photo to appear in the application.

Personnel Number

For employees in single employment, the personnel number is displayed below the photo or the placeholder for the employee photo.

For concurrent employment, the system displays the external person ID (object type CP) and below this, the IDs of the personnel assignments (object type P) in a dropdown list box.

Employee Group

During hiring, this group is transferred from the assigned position (from infotype Employee Group/Subgroup (1013)

Employee Subgroup

During hiring this group, is transferred from the assigned position (from infotype Employee Group/Subgroup (1013)

Personnel Area

During hiring, this area is transferred from the assigned position (from infotype Account Assignment Features (1008)

Organizational Unit

The system displays the organizational unit, to which the position that an employee was assigned to during hiring, belongs.

E-mail

The system displays this data from the infotype Communication (infotype 0105).

Telephone

The system displays this data from the infotype Communication (infotype 0105).

Cell Phone

The system displays this data from the infotype Communication (infotype 0105).

Other Object Characteristics

You can use the infotypes to enter other employee characteristics, which you can enter using the action lane or the action menu (access via the icon next to the employee's name) for the employee, depending on his or her country assignment.
