Creation of Ad Specs

Use

This function is used to create ad specs.

It is part of document processing and is available to you as follows during creation and modification of ad, online and commercial items:

You do not usually need to execute the function during item creation.

Entry fields required to describe an ad spec are available to you on the Ad spec tab page at item, sub-item and schedule line level and the Details tab page at item and ad spec level.

You can also create ad specs for ads with a format proposal or format proposal hierarchy.

Prerequisites

Ad specs are to be created for ad, online or commercial items.

This can involve an ad order with a 4C display ad that has 3 columns of 400 mm in size, an online order with a banner that is 234 x 60 pixels in size or a commercial order with a reminder that is 30 seconds long.

You should create sub ad specs for ad or online ad specs that consist of individual ad specs.

Features

Basic principles for creating ad specs

Various entry fields for the ad spec data are available to you on the Details tab page at item and ad spec level and the Ad spec tab page at item level:

  • Ad spec data can be entered on the Details tab page at item level if ad specs are not to include specific design or technical elements.

  • Ad spec data is entered on the Ad spec tab page at item level if these elements are required in online or commercial ad specs.

  • Ad specs with specific design elements are entered on the Details tab page at ad spec level.

If you enter the ad spec data on a tab page, the system copies this data on all other tab pages. If you enter the ad spec data on the Details tab page at item level, the system copies this data on the Ad spec tab page at item, sub-item and schedule line level and the Details tab page at ad spec level .

You must enter the following data to provide a complete description of the ad spec:

Item type

Ad spec data

AD

Design, size and color scheme

OL

Format or banner area

CM

Length

If you have not entered the ad spec data completely, the system sets the Ad spec incomplete status characteristic in the ad spec status. Ad items cannot be produced or billed if this status characteristic is set here. Commercial items cannot be billed.

Create or assign ad specs?

You can enter any number of ad specs for items, sub-items or schedule lines in a sales document.

If you do so, this ad spec is assigned to the respective item, sub-item or schedule line. If you create a second ad spec for the same item, sub-item or schedule line, you overwrite the existing assignment. This means that the first ad spec you created can be assigned again in the current sales document but has lost its original assignment.

If you create an ad spec and one has already been assigned at a lower document level, the existing assignment can be retained or overwritten.

You can only assign one ad spec to each item, sub-item or schedule line.

By doing so, you create an ad spec split.

If you create an ad spec at ad spec level, it can only be assigned if the overview tree has been activated in Customizing. If this is not the case, the ad spec can be created but not assigned.
