Assignment of Ad Specs

Use

This function is used to assign ad specs to ad, online and commercial items.

It is part of document processing and is available to you as follows during creation and modification of ad, online and commercial items:

Assign ad spec

This function is only available to you at ad spec level if you have activated the overview tree in Customizing.

Once you have done so, you can assign ad specs to ad, online and commercial items at item or schedule line level.

You can also assign ad specs to a commercial item during entry of single dates. Choose on the Details tab page at item level.

Prerequisites

To assign ad specs to ad, online or commercial items. An alternate ad spec is to be assigned to each schedule line in an ad item.

You have created the ad spec in the current sales document.

You have defined the ad spec data to be displayed in the possible entries during creation and assignment of ad specs with a template in Customizing. You have activated the overview tree at ad spec level as required:

Basic principles for assigning ad specs

An ad spec can be created and assigned several times in a sales document, but it cannot be assigned in a different sales document.

One ad spec can be assigned to an item, sub-item or schedule line. However, various ad specs can be assigned to the sub-items and schedule lines in an item.

Create ad spec splits

Assigning various ad specs to the sub-items or schedule lines in an item creates an ad spec split.

An ad spec split that is created by the user in ad, online and commercial items is known as a manual ad spec split. Manual ad spec splits are date-related or regional.

  • You create a date-related ad spec split if the customer wants a different ad spec to be published on each date.

  • You create a regional ad spec split if a customer wants a different ad spec to be published in each regional issue of a daily newspaper or in each frequency in a radio station.

An ad spec split that is created by the system in ad items is known as an automatic ad spec split.

The system creates an automatic ad spec split when it generates the schedule lines if the Ad spec split (tech ) ( ad spec split for technical reasons ) or the Ad spec split P/C for (ad spec split due to page/column format) selection button has been selected in an ad combined booking unit.

If different ad specs have been assigned to the sub-items or schedule lines in an item, the Additional assigned ad specs indicator is selected on the Details tab page at item level.

If ad specs with different ad spec data have been assigned to the sub-items or schedule lines in an item, the system displays a placeholder (star) on the Details tab page for all ad spec data that can no longer be described uniquely at item level.

If an ad spec has been assigned to several items, you can no longer enter the ad spec data on the Details tab page at item level for any items that are assigned to this ad spec. You can change ad spec data for an ad spec that has been assigned to several items on the Ad spec tab page at item level or on the Details tab page at ad spec level.

Inherit ad spec assignments

If you assign an ad spec to a sales document, this assignment is inherited as follows:

Assign an ad spec to an item

No alternate ad spec has been assigned to the sub-items and schedule lines in the item.

This ad spec is assigned to the item and all sub-items and schedule lines that this item contains.

An alternate ad spec has been assigned to at least one sub-item or schedule line in the item.

Decide whether you want to overwrite the existing assignment.

If you do so, the ad spec is assigned to all sub-items and schedule lines in the item. If you do not overwrite this assignment, the ad spec is assigned to all sub-items and schedule lines in the item to which no alternate ad spec has been assigned.

Assign an ad spec to a sub-item

No alternate ad spec has been assigned to schedule lines in the sub-item.

This ad spec is assigned to the sub-item and all schedule lines that this sub-item contains.

An alternate ad spec has been assigned to at least one schedule line in the sub-item.

You can decide whether you want to overwrite the existing ad spec assignment.

If you do so, the ad spec is assigned to all schedule lines in the sub-item. If you do not overwrite this assignment, the ad spec is assigned to all schedule lines in the sub-item to which no alternate ad spec was previously assigned.
