Use

This function is used to book ad insert booking units and position planning quantities.

Integration

It is part of order entry and is available to you during creation and modification of ad insert items.

During order entry, booking and positioning are performed once planning for ad insert items is complete.

Prerequisites

Ad insert booking units are to be booked and planning quantities positioned as required.

If you book a combined booking unit selectively, you usually define which of the lower-level booking units are to be booked. You can also define the way in which the selective booking quantity is to be distributed amongst the lower-level booking units.

A combined booking unit that is booked selectively would be used if a customer requests and insert in each local edition of a daily newspaper but does not have sufficient ad pre-prints to book all local editions. Another example of its use is if a customer and a competitor have territorial agreements and the customer requests an insert in every local edition of a daily newspaper and not just the local edition that is published in the competitor’s territory.

You have performed an availability check for the processing type, booking unit and publication date.

You have assigned planned circulation quantities to the ad insert booking unit in the product master data.

Features

A distinction is made between a full booking and a selective booking.

An ad insert booking unit is booked fully if the entire planned circulation quantity for the booking unit is used. It is booked selectively if this is not used entirely.

During booking of an ad insert booking unit, the system determines the planning quantity using the planned circulation that you have assigned to the basic booking unit master data.

Full booking

If a booking unit is booked fully, the planning quantity determined by the system can be retained.

The planned circulation quantity from the product master data is displayed in the Planning quantity field on the Details tab page at item level . The system determines the delivery and calculation quantity.

Selective booking

Book a combined booking unit selectively to define which of the lower-level booking units are to be booked.

You can also define the way in which the selective booking quantity is to be distributed amongst the lower-level booking units:

The Selective booking indicator is selected on the Details tab page at item level. The system copies the selective booking quantity in the Planning quantity field and adjusts the delivery and calculation quantity.

The selective booking quantity is positioned by virtue of booking in a basic booking unit that is booked selectively. This is a unique positioning and the Ad insert positioned indicator is selected at sub-item level.

The selective booking quantity is not positioned by virtue of booking in a combined booking unit that is booked selectively. To define the way in which the selective booking quantity is to be distributed amongst the lower-level booking units, press the Position button on the Details tab page at item level, select all booking units that are to receive a share of the selective booking quantity and enter a figure for each booking unit in the Selective booking quantity field.

The selective booking quantity that is to be distributed amongst the lower-level booking units is displayed in the Planned AI quantity field.

The Ad insert positioned indicator is not selected at sub-item level until you have established which of the lower-level booking units are to be booked.

Enter ad specs with identical positionings

Positionings can be copied to accelerate entry of orders with identical positionings but different publication dates.

Copy the schedule line with the positioning that you want to copy using the Create item with template function and generate a new item. If you choose a copying variant for which the Change date indicator has been selected, you can specify a publication date on the New item attributes dialog box when you create a new item. The system creates the new ad insert item with the booking unit and positioning from the copied schedule line.
