Planning for Ad Insert ItemsTo perform an availability check during creation of ad insert items.
Planning ad insert items is part of order entry and takes place before bookings, ad inserts, insert notes and carrying ads are entered.

An availability check is to be performed.
You need to check whether an insert can be published in the local issue of a daily newspaper over New Year.
You have created ad insert booking units in the product master data and generated any work areas required for booking unit hierarchies.
You assigned planned circulation quantities and capacities to the basic booking units when you created the ad insert booking units.

Ad insert items can be planned in various ways. The procedure that you choose is controlled by order entry:

Selection
The following selection criteria are available to you on the selection screen:
Booking units, publications and editions
Processing type
Publication dates and copy numbers
Sales area
Explode level
Selection criteria are used to restrict the number of publication dates and booking units that are available for planning for the processing type required.
Selection is sales area-dependent.
You must specify the processing type, booking unit and publication date for selection.
If you enter a publication period instead of a publication date, you can offer a customer alternative dates if the processing type or booking unit are not available on the date specified.
The following options for entering publication dates are available to you:

Selection variants can be created and used to plan ad insert items if you always work with the same selection criteria.

Display
Ad insert items can be planned on the display screen.
To do so, check whether the processing type is available in the booking unit on the specified date and create the ad insert item if the booking is possible.
If the booking is not possible, you can offer the customer an alternate date or create the ad insert item and place it on a waiting list. The item can be edited subsequently if for example a different reservation is not confirmed or an order is cancelled.
If an order is placed on a provisional basis, you can reserve the ad insert item for the customer. If the customer does not confirm the reservation, you must cancel the ad insert item.

Availability check
All publication dates and booking units that match the selection criteria are displayed in a hierarchy tree on the display screen.
All paths from the root nodes to the booking unit specified and all booking unit sub-trees that contain the booking unit are displayed in the hierarchy tree. When you display a basic booking unit that has been assigned below a combined booking unit with other basic booking units, the system displays the combined booking unit and all lower-level basic booking units.

Note that each hierarchy version has an error log that provides information about why booking units are not displayed in the hierarchy version even though they can be produced within the specified period.
The following information is displayed for each booking unit:
Number of possible positionings
Number of full bookings
Number of selective bookings
Number of reserved full bookings
Number of reserved selective bookings
Number of full bookings on the waiting list
Number of selective bookings on the waiting list
Number of positionings that have not been booked
Circulation figures
Number of copies booked for a circulation
Number of copies not booked for a circulation
Reserved full and selective bookings are counted with those that have not been reserved. Once you have created a reserved full booking, this positioning option is no longer available to you. A reserved booking is a booked positioning.
If booking for a booking unit exceeds its capacity, the system displays the amount by which the booking unit has been overbooked with a negative leading sign.
Create ad insert items
The following functions can be used to plan and create ad insert items:
