Defining Organizational Measures Before you can use the organizational measure functions, you have to create an organizational measure on the basis of a measure type, define measure areas, and assign processors.
Before you can use an organizational measure, you have to carry out the following steps:
Customize the organizational measure you are planning, that is, define which changes are to be made by which processors. Also check whether:
One of the existing measure types in the system meets your requirements; if necessary, define your own measure types
The layout of the measure areas available in the system meets your requirements; if necessary, define your own measure areas
The
Case Management
component provides a series of Business Add-Ins (BAdIs) (SCMG*) and authorization objects (S_SCMG*) that you can use to define organizational measures and their measure areas:
BAdI SCMG_STORE_C, for generating a document that is used as the specifications for implementing the organizational changes made in the system (you can use the implementation of this BAdI as a template to determine the status transition or specific properties, for example)
BAdI SCMG_BEFORE_VALID_C, for adjusting the name assignment automatically or for preassigning properties
Key SCMG_KEY of authorization object S_SCMG_CAS, for controlling the authorization for an organizational measure (the key can be filled in the BAdI SCMG_AUTHORITY_C, for example, depending on one or more properties)
Authorization object S_SCMG_ STA, for controlling the permitted status transitions
Authorization object S_SCMG_ FLN, for controlling the ready for input status of properties (in particular status change)
Call up the
Case Management
application (transaction SCASE).
If necessary, enter the Records Management System ID /ISDFPS/ORG_MEASURE in the
RMS ID
field.
In the structure tree in the
Role-Based View
area, choose
.
Enter the required properties for the organizational measure. Note the following special features:
The system specifies the current user as the person responsible. You can replace this entry with a different user, a position, or an organizational unit.
The organizational measure is automatically assigned the status
In Preparation
.
This status indicates that the organizational measure has not yet been completely created and that you cannot start implementing the data changes.
The status cannot be set to
In Process
until all the required properties have been assigned.
If necessary, enter a note. To do so, choose
Notes
. Enter the required text and choose
Copy
.
Specify the persons responsible for the relevant area by choosing and entering a user, position, or organizational unit, as well as the required processing conditions.
You can then specify additional processors that are to perform tasks sequentially or in parallel. The sequence of processors defined here determines how the relevant work items are triggered, with the requirement of defining the measure areas in more detail.
If necessary, you can also assign an organizational measure documents, transactions, and elements. You define the availability of such elements using the functions of the
Case Management Modeler
.
Save the organizational measure.
Note
In the
Case Management
application, you must save your changes regularly, in particular when the system asks you to.
Change the status to
In Process
.
Save the organizational measure.
The persons responsible for the relevant area are informed of their task by a workflow.
Exit the
Case Management
application.
You are responsible for defining measure areas.
In the workflow inbox in the system, execute the relevant work item.
The system calls up the
Case Management
application.
Specify the required measure area
In accordance with the assignment of the organizational measure to a
measure type
, the system may have created measure areas automatically. These are displayed under
Linked Objects
.
To adjust such a measure area, select the relevant entry and choose
You can create measure areas manually. To do so, choose
from the
Linked Objects
area.
Note
A processor can create several measure areas. However, each of the types of measure area defined in Customizing should be used in an organizational measure once only .
Enter the required properties for the measure area.
In the
Area
field, select the required measure area. In the case of automatically created measure areas, this value is already assigned.
If necessary, enter a note. To do so, choose
Notes
. Enter the required text and choose
Copy
.
Define the required process route (in the same way as you create a process route for the organizational measure). A process route can be predefined on the basis of the Customizing assignment between type of measure area and measure type . In this case, you can adjust this process route manually.
As in the case of the organizational measure, you have the option here of assigning documents, transactions, and elements.
Save the measure area.
Change the status to
In Process
.
Save the measure area.
The processors are informed of their task by a workflow.
Exit the
Case Management
application.
If you, as the person responsible for the relevant area, have carried out all actions and want to trigger a subsequent work item in compliance with the process route, end the work item.
The organizational measure, together with its measure areas, is created. The system sends the relevant work items to those processors who now make the data changes. You can now execute the organizational measure .
