Procedure documentationManaging and Creating Audit Packages

You can create new audit packages within your worklist for processing audit packages. The creation of an audit package is based on an audit package template in which tables and fields have been preselected in the archive data. The function for processing audit packages offers all the functions you need to use audit packages for queries.

Resource URIs of the Audit Package

If you want to enlarge or restrict the scope of a query, you can edit the list of resource URIs (list of URIs) that you determined when you created the audit package. To do so, the system stores the list of URIs in an XML file in an exchange directory and opens the ILM Store Browser. In the ILM store browser, you can edit the list of URIs and then write it back to the original XML file. The edited list of URIs is available immediately in the audit package. You can save it with the audit package data.

Prerequisites

  • Per default, the audit package function uses the global system directory to exchange URI lists with the ILM Store Browser. If you want to use a different exchange directory, in the FILE transaction, you have ensured that the logical path ILM_EXCHANGE_PATH, supplied by SAP, refers to the physical path you require.

  • You have called up the function for processing audit packages and defined a worklist for processing audit packages.

For more information, see: Processing Audit Packages, Defining Worklists for Processing Audit Packages

Procedure

Creating an Audit Package
1. Defining a New Audit Package
  1. On the Audit Package Processing screen, select the worklist (query) in which you want to create the audit package.

  2. To create an audit package, select New and enter the relevant data in each of the following steps:

    1. Select the audit package template as well as the legacy system and the client.

    2. Optional: Restrict the selection of fields (if intended) for archive access, for example, company code 001 to 003.

    3. Enter the name of the audit package and additional parameters, if necessary.

    4. Check the overview of the audit package information and the URI list.

2. Optional: Editing the URI List

If you require additional information or less information for your queries, you can enlarge or restrict the list of URIs of the audit package as follows:

  1. In the application toolbar of the URI list, select Edit.

The system stores the list of URIs for the audit package saved as an XML file in an exchange directory under the name <Prüfpaktename><System-ID><Mandant>.xml and opens the ILM Store Browser.

  2. In the ILM Store Browser, edit the list of URIs and save the changed list under the original file name.

    For more information, see:

Using the ILM Store Browser for SRS-Based Stores

Using ILM Store Browser for XML DAS-Based ILM Stores

  3. Return to the creation process for the audit package and on the application toolbar for the URI list, select the the icon with the quick info Refresh URI List.

The system updates the displayed list of URIs and checks the validity of the URIs.

3. Completing the Audit Package:
  1. Choose Finish.

  2. Optional: When you have created the audit package (the system issues a success message), you can view and check the URI list in the table IWP_WP_URI.

    Note Note

You cannot change the list of URIs for this audit package. If you want to achieve a different composition in the list of URIs, you need to create a new audit package.

    End of the note.
Preparing Audit Packages for Reporting

To be able to retrieve the data from the ILM Retention Warehouse with BW queries or to provide the data in file forms based on the audit package, you need to prepare accordingly.

For more information, see:

Extracting Data from an Audit Package to the BW System

Downloading Audit Package Data from ILM RW Systems

Deleting Audit Packages

If the data in an audit package was not extracted to SAP NetWeaver BW or if the extracted data in an audit package was deleted in SAP NetWeaver BW, you can delete the audit package.

  1. Select the audit package.

  2. Choose Delete.

Viewing the Status of an Audit Package

In the overview of the audit packages, you can see the status of each audit package. The status changes depending on the processing step. The following status values are possible:

Status

Description

New

The audit package was created.

Analyzed

The audit package was created, the infrastructure for SAP NetWeaver BW was analyzed, and the extraction to SAP NetWeaver BW was triggered, but the job has not yet started.

Analyzed with Errors

Errors occurred during the analysis of the infrastructure for SAP NetWeaver BW. You cannot extract the audit package to SAP NetWeaver BW.

Generated

The infrastructure for the audit package was generated in SAP NetWeaver BW and the system created a log.

Generated with Errors

Errors occurred when the infrastructure was being created in SAP NetWeaver BW. The system created a log.

Loading Started

The system started transferring the content (archived data) for the audit package to SAP NetWeaver BW.

Loaded Successfully

The content for the audit package was transferred successfully to SAP NetWeaver BW. The system created a log.

Loading Failed

The transfer of the content for the audit package to SAP NetWeaver BW failed. The system created a log.

Deleted

The content that was created for the audit package in SAP NetWeaver BW was deleted along with the infrastructure. The system created a log.

Deleted with Errors

Errors occurred when deleting the content that was created for the audit package in SAP NetWeaver BW or when deleting the infrastructure. The system created a log.
