With this function, the resource manager can get a quick overview of resources on the fast entry screen. This overview displays the resource availability across multiple projects and roles.

  • You can click the arrow to the left of the resource and drill down to view the total availability, remaining availability, and total assigned effort for each assigned resource. Additionally, you can see to which project and role this resource has been assigned. By clicking the project or role, you navigate to the integrated view of Project Management.

  • You can also access further information about each resource by clicking the resource to display its details.

  • Depending on your needs as a resource manager, program manager, or project manager managing several projects, you can save the search criteria for resources and projects as views. To do so, you can toggle between Switch to Favorites and Switch to Views and define and edit your own views.

Prerequisites

  • You have selected one or more resources at work center level, either by clicking the resource or by selecting several resources and choosing Open Selected.

  • If you want to navigate to the fast entry screen by choosing Resource Overview in the Services area, or if you want to save search criteria for resources and projects as views and toggle between favorites and views, you must have switched on the switch Start of the navigation path 0002 Master Switch Next navigation step 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) End of the navigation path in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Global Settings Next navigation step Override Default Global Settings End of the navigation path.

  • If you want the project numbers to be displayed in addition to the project names, you have set the general default value 0038 Project Number Column on Resource Overview Screen to X (Yes) in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Global Settings Next navigation step Override Default Global Settings End of the navigation path.

Features

In the header area, you can specify the Unit field. This allows you to select the time unit in which the assignment for each resource is to be made. For more information about the Start field, Finish field, and Period field, see Resources.

You can also use the following fields or pushbuttons to display and define your resources:

Screen Element

Explanation

Apply

Displays resources for the specified start date, finish date, period, and unit.

Show All Periods

Display all periods for the duration specified or a maximum of eight periods as default.

Favorites

Allows you to choose a favorite.

Add to Favorites

Allows you to add selected resources to a favorites list. When you select at least one resource in the table and choose Add to Favorites, a dialog box appears where you can save your selections.

Edit Favorites

Allows you to edit your favorite list.

Expand All

Displays all the detailed information related to Summary, the resources, projects, and roles.

Collapse All

Hides all the detailed information related to Summary, resources, projects, and roles.

Distribution

Opens the Distribution dialog box. For more information, see Distribution for Resource Management.

Additional Information on Resources

Opens the side panel with additional information on selected resources or roles. For more information, see Resource Management Graphics.

The table below the header area displays the following:

Column

Explanation

Resource

Lists the resources, the projects to which they are assigned, and the resource assignments in a hierarchical view. You can select the triangular icon or the Expand All pushbutton to expand the hierarchy.

You can click the resource name to link to the resource details, or you can view the following summary information on the overview screen:

  • Total Availability

    Displays the total resource capacity for the selected period.

  • Remaining Availability

    Displays the remaining resource capacity for the selected period.

  • Total Assigned Effort

    Displays the resource capacity that is already assigned for the selected period.

  • Projects and role assignments

    You can click each assignment to view the details in Project Management. For more information, see Project Management.

For the resource, project, and role, you can carry out the following activities by choosing Menu (Menu):

Resource

  • Assign as resource or candidate

    The dialog box displays the resource details with the list of unassigned roles . A resource or candidate assignment is created for all the roles that are added to the Selected Roles table. For role assignments, the start and finish dates of the assignment are defaulted to the start and finish dates of the role.

  • Assign as resource or candidate (Search)

    In the dialog box, you can search directly for one or more specific roles that you want to assign as a resource or candidate.

Project

The context menu of the project displays the unit and the period breakdown of the project. You can only edit the distributed assigned effort for a resource assignment when the unit and period breakdown in the fast entry screen matches those of the project.

Resource or Candidate Assignment

All role assignments for the current resource are displayed below the project. The assignment can be one of the following:

  • Hard-Booked

  • Soft-Booked

  • Candidate Assignment

The context menu of the role has the following options:

  • Unassign

    Unassigns a resource from the role or removes a candidate assignment.

  • Book (Soft-Booked only)

    Switches soft-booked to hard-booked

  • Confirm (Candidate Assignment only)

    Switches Candidate to Resource Assignment

Project Number

Lists the numbers of the projects to which the resources are assigned. The project name is displayed in the Resource column.

Note, however, that the Project Number column is only displayed if it has been activated in Customizing (see Prerequisites).

Distributed

A selected checkbox indicates that this role is distributed.

Total for Period

Displays the total of the assignment made for the resource.

Periods

Displays the periods for which the assignment can be made. The duration of the periods corresponds to the period breakdown specified above, that is, month and week. A maximum of eight periods is shown as default. Choose Show All Periods to display all periods.

Activities

You can perform the following steps:

  1. To open the fast entry screen, choose Start of the navigation path Resource Management Next navigation step Resources End of the navigation path, then select a resource from the list.

  2. To specify one or more of the parameters in the header area, select a date in the Start or Finish fields and choose Enter. The date range is applied automatically in the table.

  3. If you also want to change the period or unit, enter the settings and choose Apply to display the resources.

  4. When you have finished working with your resources, choose Save.
