Function documentationBucket Details

 

You can use this function to view and edit the details of an existing bucket, modify user authorizations, and work with attached objects. You can update the bucket information if you have sufficient write authorization.

To navigate to this screen from Portfolio Management or from Portfolio and Project Administration, choose the bucket name.

Prerequisites

If you want to use capacity assignment, you must have done the following:

    You can view or change information about the bucket in the fields described below.

    Bucket Name

    Mandatory

    Alphanumeric field describing the bucket

    ID

    Mandatory

    Unique identifier for the bucket.

    Depending on your Customizing settings, the ID is generated using the SAP number assignment functionality or a customer-defined processing logic, or a character key (Universal Unique Identifier) is generated on saving. The generated ID can be overwritten manually.

    User who last updated the bucket. During bucket creation, this field is blank and is updated when you choose Save.

    Date on which this bucket was created. During bucket creation, this field is blank and is updated when you choose Save.

    Mandatory

    Indicates whether the bucket is active or inactive

    Reviews

    System generated

    Number of reviews associated with the bucket. During bucket creation, this field is blank and is updated when you choose Save.

    Parent Name

    System generated

    Name of the bucket. This field is populated by the system based on your selection in the previous screen. The field is blank if the bucket is created within a portfolio or classification hierarchy. For more information, see Bucket Selection.

  • Financial and Capacity Information

    You can specify the dates and attributes for monitoring the financial and capacity information for all projects at the bucket level. You can modify this for individual items.

    You can view or change the fields described below.

  • Subbuckets

    You can view subbuckets that were created with this bucket as the parent. You can choose the subbucket name to view details.

  • Capacity Assignment

    • You can assign resources to a bucket by choosing Add Assignment. Then you choose an entry in the Add Resource By field (Location, Organizational Unit, Team, Role Function, Resource Name, Resource Pool).

    • If you have selected a particular view for which you have selected the Capacity Assignment entry as bucket process in Customizing for SAP Portfolio and Project Management, you can display the resources by choosing Show Resources.

    • You can derive the financial planning values from the assigned capacity.

    • You can display the capacity amount mapped to individual view/category/group combinations, that is, the availability in percent and the start or finish date, by choosing Calculate Availability.

    • By choosing Calculate Availability, you can display the capacity amount mapped to individual view/category/group combinations, that is, the availability in percent and the start or finish date, in the Capacity Planning dashboard of the bucket.

      Note Note

      The system also calculates the financial amounts if you have defined the following settings in Customizing for SAP Portfolio and Project Management:

      • You have set the Project Management rate in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Connection to External Systems Next navigation step Accounting Integration Next navigation step Define Cost/Revenue Rates End of the navigation path.

      • You have mapped capacity views to financial views in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Base System Interfaces Next navigation step Financial Planning Settings Next navigation step Define Financial Planning Settings Next navigation step Map Fin/Cap Entities to Project Management Rate End of the navigation path.

      • For this specific financial view, you have selected the Capacity Assignment entry in the Bucket Process column in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Portfolio-Independent Settings Next navigation step Define Financial and Capacity Views End of the navigation path.

      The financial amounts are then displayed in the Financial Planning dashboard in the financial view that you have selected as Capacity Assignment in Customizing.

    To assign capacity to a bucket, you can import Microsoft Excel data by executing the RPM_DX_RES_ASSIGN report. For more information, see Resource Details.

Items, Initiatives, Collections, Reviews, and Documents and Notes

In the Items, Initiatives, Collections, and Reviews views, you can see the objects that are attached to this bucket. You can work with the objects in the same way as in the work center. In the Documents and Notes view, you can add and remove documents for this bucket.

Miscellaneous
  • Field Service Configuration

    You can view or change questionnaires or scoring models for Item Fields and Initiative Fields. You can specify the active questionnaires for Decision Point Fields. The fields are predefined during the configuration.

  • Authorizations

    Users

    You add users and provide appropriate authorization to access the classification hierarchy. The user creating the bucket is automatically added as the default user with administration rights. Buckets, items, and initiatives inherit the users and authorizations from the parent portfolio or parent classification hierarchy.

    • To add a user, choose Add or Add Multiple. Search for the resource to whom you want to provide access.

    • To remove a user, select the user, then choose Remove.

    • By default, newly added users are not assigned any authorization. To provide authorization, select from Admin, Write, Read, Create, and Person Responsible. To display descriptions of each authorization, hold the cursor over the column headers.

    User Roles

    You can add user roles and provide authorization. All users with this role have authorization to this bucket, and to any buckets, items and initiatives within it. To add a user role, choose Add or Add Multiple. Search for the resource to whom you want to provide access.

  • Change Documents

    If you have activated change documents, you can track all attribute changes. For more information, see Working with Change Documents
