Function documentationGeneral Definition of a Role

 

This function provides an overview of the general data for a role. When defining new roles, you use this function to specify the general data.

Prerequisites

You have navigated to this tab by choosing Start of the navigation path Resources Next navigation step Details Next navigation step General End of the navigation path.

Features

The left area of the screen displays an overview of all roles that you have created with their status and the resources already assigned.

The General tab page displays the detailed data for the selected role and the scheduled start and finish dates of the project derived from the project data. You can create new roles or copy existing roles (see Creating a Role).

When you do this, you can specify or view the following attributes:

  • Role type

    The system displays default role types according to the project type. You can make these settings in Customizing for Project Management under Start of the navigation path Resource Management Next navigation step Basic Settings for Roles Next navigation step Define Role Types End of the navigation path.

    You make a role available for the staffing process by choosing the Resource Manager via Responsible Organization option in the Staffed by column in this Customizing activity.

  • Name for the role

  • Function for the role (for example, developer or decision maker)

  • Detailed description of the role

  • Validity period of the role

  • Calculated start and finish

    If you do not specify an explicit validity period for the role, the system determines and displays the calculated start and finish from the validity period of the project.

  • Planned demand using the time unit of your choice

  • Confirmed times, including the time unit

    This field is only available if you have selected Time Recording for Project Roles in Customizing for Project Management under Start of the navigation path Structure Next navigation step Define Project Types End of the navigation path. Otherwise you record your times for tasks. For more information, see Confirming Tasks.

  • Urgency of the role, which indicates how important the role is

  • Vacant checkbox to document that the role has not been staffed. This is relevant to the vacant role search. For more information, see Vacant Role Search.

  • Area and location in which the role is required

If tasks are assigned to a role (see Task Assignment) and the role type does not permit distribution (see Distribution of Demand over Periods), the system displays the following data under Task Assignments for Role:

  • Number of tasks assigned

  • Earliest start and latest finish date of the tasks

  • Total work assigned

Choose Update Role According to Tasks to determine the dates and demand of a role from the assigned tasks.

Note Note

This pushbutton is not available, if the automatic update function is active for a role. In this case, the system triggers the update whenever you create, change or delete the assignment of a task to the role or the resources it is staffed with. You activate the automatic update function for all roles or specific roles, such as roles of a specific role type or project type by implementing the method AUTOMATIC_UPDATE_ROLE in Customizing for Project Management under Start of the navigation path Resource Management Next navigation step Business Partner Next navigation step BAdI: Performance and Usability in Resource Management End of the navigation path.

If you chose a role with distribution, you can no longer manually edit the Total Demand field. The data then comes from the distribution data, which you can edit manually (see Distribution of Demand Over Periods).
