You use this function to assign tasks to roles. For more information, see Assigning Tasks and Roles.

Integration

  • You use this function if you want to assign multiple tasks to a role. Alternatively, you can assign multiple roles to a task. For more information, see Assignment of Roles to Tasks.

  • The Task screen provides an overview of all tasks to which you are assigned by means of a role (see Project List).

Prerequisites

  • You created tasks for the project. For more information, see Task and Creating Basic Data for a Task.

  • You have administration authorization for the tasks you want to assign.

Features

The group box on the left shows the roles with their status and assigned resources. Here, you select the role you want to edit on this tab page.

The upper area of the group box on the right shows the tasks you have already assigned to the current role. You can enter the following data:

  • Time frame of the assignment

    The system displays the possible time frame to help you.

  • Work that the current role is expected to carry out for a task

    The planned work for a task does not restrict staffing: You can exceed it as required.

  • Time unit for the work

You can assign more tasks in the lower area of this group box. On the left, the system displays the project structure with all the tasks and the roles that are already assigned to the tasks. The following information is displayed for each task:

  • The time frame in which you want the task to be carried out

  • The effort you have already assigned

  • Status

Icon

Description

Red icon

No roles are assigned to the task.

The task has been assigned work = 0.

Yellow icon

The task is not fully staffed: Work of task > total work of task assignments.

Green icon

The task is fully staffed: Total work of task assignments = work of task.

Green-yellow icon

The task is overstaffed: work of task < total work of task assignments.

In the screen area on the lower right, the system displays the resources in the Resources group box that belong to the staffings of the role currently selected.

Activities

You have the following options:

  • You can assign any number of tasks to each role in a single work step.

    It is not possible to assign multiple tasks to multiple roles. If you do this, the system issues the error message Selection for assignments between roles and tasks is invalid.

    Instead of assigning a role to a task and leaving it open as to which resources are participating in the completion of the task, you can also select one or more resources that staff the role and assign them to the task straight away. You can also replace a resource that exists in an assignment by selecting the assignment in the relevant group box, selecting the new resource in the Resources group box, and then choosing Assign Resource.

  • You can distribute the work of one task over multiple roles.

    A task can only be selected for a role if the validity period of the task overlaps with that of the role.

  • You can restrict the time period of a task assignment.

  • If you use staffing by the project lead you can delete assignments at any time. If, on the other hand, you use staffing by the resource manager, you can only delete task assignments if they have the status Staffing in Preparation (see Deleting a Task Assignment).

    You specify the staffing type in Customizing for Project Management by choosingStart of the navigation path Resource Management Next navigation step Basic Settings for Roles Next navigation step Define Role Types End of the navigation path .

  • The project lead can change the role to task assignment irrespective of what the status is. To do this, you must have chosen the extended staffing process and have selected the Flexible Assignment checkbox in Customizing for Project Management, by choosing Start of the navigation path Resource Management Next navigation step Basic Settings for Roles Next navigation step Define Role Types End of the navigation path.
