Function documentationAssignment of Roles to Tasks

 

You use this function to assign roles to individual tasks.

You have the following options:

  • You can assign any number of roles to each task.

  • You can distribute the work of one task over multiple roles.

    Note Note

    Note that the validity periods of the tasks and roles must overlap. If they do not, the system issues a message.

  • You can restrict the time frame of a role assignment.

  • You can delete assignments (see Deleting a Task Assignment).

Integration

  • You use this function if you want to assign multiple roles to a single task. If, on the other hand, you want to assign multiple tasks to a single role, you can use the task assignment view.

  • The Tasks view provides an overview of all tasks to which you are assigned by means of a role (see Project List).

Prerequisites

  • If you want to assign multiple roles or resources to a task at the same time, you have made the appropriate entry for area 0006 User Interface Settings, setting 0036 Assignment of Multiple Roles to Tasks at a Time in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Basic Settings Next navigation step Override Default Global Settings End of the navigation path.

  • You created tasks in the structure tree. For more information, see Task and Creating Basic Data for a Task.

  • You have administration authorization for the tasks you want to assign.

Features

The project structure displays the tasks with their current status.

You see the roles that are already assigned to the selected task in the upper screen area. You can make new assignments. You specify the following:

  • The time frame for which you want the role to be assigned

  • The work that you want to assign to the role

    The work planned for a task does not restrict staffing. You can overbook if necessary.

  • The time unit for the work

The Roles for Current Project group box lists all roles. The following information is displayed for each role:

  • The status:

    Icon

    Description

    Red icon

    • There are no tasks assigned to the role.

    • The role has been assigned a task with work = 0.

    Yellow icon

    The role is partially staffed: Demand of role > demand of assigned task

    Green icon

    • The role is fully staffed: Demand of role = demand of task

    Green-yellow icon

    The role is overstaffed: Demand of role < demand of task

    • Assigned roles

      Information about how much of the planned work you have assigned to the role and the period in which you want the task to be carried out.

    • Validity period of the assignment

    • Amount of planned work you have already assigned

    • Instead of assigning a role to a task and leaving it open as to which resources are involved in the completion of the task, you can also select a resource that staffs the role and assign it to the task straight away.
