Procedure documentationAssigning Tasks and Roles

Prerequisites

You created tasks in the Structure view on the Project screen.

To assign roles to these tasks, the following prerequisites must be met:

  • You have administration authorization for these tasks.

  • The validity period of the task overlaps with the validity period of the role.

  • You are on the Project screen in one of the following tabs:

      You see the Roles tab only if you have selected a task in the structure tree.

The system uses the following values to calculate the work:

  1. Remaining demand of the role: Total demand of the role minus the work of all role to task assignments.

  2. Remaining work of the task: Planned work minus the total work of all role to task assignments.

  3. Remaining availability of the business partner in the role: Total demand of the role staffing of the business partner minus the total work of all role to task assignments for the same business partner and the same role.

    If you assign a task to a role, the system uses the minimum from value a and value 2 as the default value.

    If you assign a task to a resource, the system uses the minimum from value 3 and value 2 as the default value.

    If the demand of the role or resource staffing is 0, the system always uses value 2 as the default value.

Procedure

You are in the Structure view and have selected the Roles tab:

  1. Choose the role or resource to which you want to assign the selected task.

  2. Enter the period for which you want the role to be assigned.

  3. Enter the amount of work that you want to assign to the role.

    Note Note

    The Roles with Assigned Tasks area displays how much work is planned for each role and how much of this work has already been assigned. You can assign the total work to one role or distribute it over various roles.

  4. Save your data.

You are in the Details subview of the Resources view and have selected the Tasks tab:

  1. Select the role to which you want to assign tasks in the screen area on the left.

  2. Choose the task that you want to assign to the selected role.

  3. Choose Assign Role to assign the task to the role or select a resource and choose Assign Resource, to assign the resource to the task directly.

  4. Enter the period in which you want the task to be carried out.

  5. Enter the amount of work that you want to assign to the role.

    The Tasks with Assigned Roles area displays how much work is planned for each task and how much of this work has already been assigned. You can assign the total work to one role or distribute it over various roles.
