Procedure documentationCreating a Role

 

Project Management provides the following options for creating roles in operative projects and project templates:

  • You can create a role without a template

  • You can copy a role within a project or project template

    The role is copied with its demand, task assignments, qualification requirements, documents and object links. Staffing and candidates are only copied if the role type requires direct staffing rather than a staffing process.

  • You can include a role from a project template

    The role is copied with its demand and qualification requirements, but without task assignments, documents and object links. Staffing and candidates are only copied if the role type requires direct staffing rather than a staffing process.

  • You can copy roles from an operative project

    This feature enables you to copy a role from another operative project to a new role or add its staffing to an existing role in the target project. For more information, see Copying Roles and Staffings.

Prerequisites

  • In Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Resource Management Next navigation step Basic Settings for Roles Next navigation step Define Role Types End of the navigation path, you have defined role types.

  • In Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Structure Next navigation step Define Project Types End of the navigation path, you have specified how roles can be created in operative projects. You can find this setting on the Details view of your project types, in the Resource Management screen area. If “role creation by include only” is active for a project type, you cannot create roles without a template or copy roles in operative projects of this type.

  • You can only include roles from a project template, if the template has the status Released.

Procedure

In the Resources view of your project, open the Details subview, or access the Staffing Overview and choose Dates.

Depending on how you would like to create your roles, proceed as follows:

Creating a Role Without a Template
  1. Choose Create Role.

  2. Enter the required data on the General tab page of your role.

    If you have assigned role types to your project type in Customizing , only these role types are available in your project.

  3. If you are in the Staffing Overview, choose OK.

  4. Save your project.

Copying a Role Within a Project or Template
  1. In the Details subview of the Resources view, select the role that you want to copy, and choose Copy Role.

    In the Staffing Overview, choose Copy in the context menu of the role that you want to copy.

  2. Change the basic data of the copied role as required.

    Note that you can only change the role name and the demand of distributed roles in the Detail subview of the Resources view.

  3. Save your project.

Including a Role from a Project Template
  1. Choose Include Role.

  2. Enter the required search criteria, and choose Find.

  3. In the search result, click on the role number of the role that you want to include.

  4. Change the basic data of the included role as required.

    Note that you can only change the role name and the demand of distributed roles in the Detail subview of the Resources view.

  5. Save your project.

Result

The new role is displayed in the Roles screen area on the left of the Details subview and in the Staffing Overview. You can now add further role data as required. For more information, see:
