The universal worklist (UWL) provides central access to your tasks. The UWL is integrated into the SAP NetWeaver portal. To perform a task which is assigned to you as a processor, you just need to click the subject of the task listed in the UWL. If another user assigns you as a contributor to a task, it also appears in your task list.

The application which you need to complete the task is opened automatically. The process desk also provides the task execution user interface (task execution UI) which has additional functions such as task delegation.

Users receive a task in their task list because they are:

  • Potential or actual owners of a task

  • Contributors to a task

  • Substitutes for a task

A task with an offline form assigned is completed after submitting the form by mail. For more information, see Using Adobe Offline Forms.

Depending on the task execution progress, the task life cycle status changes. Possible statuses of tasks include:

  • New

    The task is displayed in the task list of all potential owners. No potential owner has opened the task yet. When the actual owner of a task has put it back, the status of the task is also New and visible to all other potential owners.

  • In Progress

    The task is claimed by one of the potential owners who has opened the task execution UI. When a task is opened, it is automatically claimed by the user and he or she becomes an actual owner. Thus, the task disappears from the task lists of all other potential owners.

  • Completed

    The task is displayed in the Completed Tasks view. No other actions can be performed on the task. The Completed status focuses on the task life cycle completion, so that the task business goal is reached.

Procedure

  1. To open the UWL in the portal, choose the following menu path:

      Start page (Home)   Work  

  2. Select New and In Progress Tasks to display the tasks that need to be completed.

    The UWL offers various options for handling tasks. For more information about the UWL, see Managing BPM Tasks in the Universal Worklist.

  3. Click the subject text of the task you want to perform.

    The task execution UI and the required application are opened.

  4. Complete the tasks with the required application which is displayed in the application pane of the task execution UI. You can:

    After completing the task, the task execution UI and the application are closed automatically. If you have enabled the UWL push mechanism, the completed task disappears from your task list. For more information, see Enabling the UWL Push Mechanism.
