Procedure documentationUsing ILM Retention Warehouse for System Decommissioning

 

SAP NetWeaver Information Lifecycle Management (SAP NetWeaver) enables you to decommission your legacy systems with a standardized process that includes the following steps:

  • Transfer data archived in or extracted from the legacy system to a stand-alone ILM Retention Warehouse system (RW system).

  • Apply Retention Management Functions of SAP NetWeaver ILM to legacy data in the RW system.

  • Query relevant information for tax auditing and product liability purposes with local reporting functions or with SAP NetWeaver Business Information Warehouse (SAP BW).

  • Retention and destruction of data within the required time periods according to Retention Management definitions.

The following figure depicts the transfer and management of information from a legacy system in the Retention Warehouse System.

Prerequisites

In the legacy system, you have archived or extracted all the data needed to create an exact image of the legacy data in Retention Warehouse.

Procedure

  1. As a prerequisite for the application of the Retention Management functions to legacy data, you transfer the archive administration data in the SN_META (metadata) file from the legacy system to the RW system repository. You then define the audit areas and ILM policies that are required for ILM-compliant management of legacy data in the RW system.

  2. Transfer the archive files and their context data as well as the transaction and master data of the legacy system to RW system. The transfer means that you convert the archive files of the legacy system in the RW system - according to time specifications in the ILM rules - into new files and that you store the converted archive files in the ILM store.

  3. Enable the retrieval of data (for example, for the tax auditing or product liability purposes)

  4. Destroy the data on which there is no legal hold and whose retention period has expired according to the ILM rules.
