Process documentation Example: User Management Process for B2B Web Shop User Locate the document in its SAP Library structure

Purpose

You use the user management function to create and enable users for your CRM E-Commerce and Channel Management Web-based applications. You can maintain all types of users. You assign authorization roles to these users to determine the activities and transactions they can carry out in the CRM E-Commerce Web-based applications, for example so that they can act as Web shop managers and superusers

Below is an example of the process for managing B2B Web shop users in CRM E-Commerce.

Prerequisites

·        You have copied and modified the authorization roles for a B2B Web shop user

The system administrator copies and modifies the standard roles for Internet users delivered by SAP to meet the company’s needs. For more information, see Authorization Concept in CRM E-Commerce.

·        You have created a service user for the B2B Web shop and Web-based User Management application

The system administrator creates a user of the type service in the SAP CRM system (transaction SU01) and assigns the service user role to it. This service user enables RFC connections to be made between the SAP CRM system and the CRM E-Commerce Web-based applications. A service user must be created for each CRM E-Commerce application. So in this case, the system administrator creates one service user for the B2B Web shop application and one for the Web-based User Management application. The system administrator then enters the user IDs for the service users in the Extended Configuration Management (XCM) date for the appropriate application. For more information on creating service users, see the configuration documentation for configuring user management in CRM E-Commerce in SAP Solution Manager.

·        You have carried out the appropriate Customizing activities for user management in your SAP CRM system

You can find all user management-relevant activities in Customizing for Customer Relationship Management under E-Commerce ® Basic Settings for E-Commerce ® Internet User and carry out the assigned activities.

Process Flow

Create a service user a...

       1.      The system administrator creates a Web shop manager by creating an SU01 user of the user type Dialog (transaction SU01 in the SAP CRM system) and assigning the necessary authorization roles.

You create SU01 users in your SAP CRM system and assign the appropriate authorization roles on the Role tab page. In the SAP Easy Access Menu choose Architecture and Technology ® System Administration ® User Maintenance ®Users (transaction SU01).

Note

You assign authorization roles to the user to determine the activities the user can carry out in the application. You can assign roles directly or by using a reference user.

For more information, see Structure linkUser Maintenance Functions.

       2.      The Web shop manager creates a superuser in the Web-based User Management application. For more information on user creation in the various applications, see User Creation in CRM E-Commerce.

Note

When the superuser is created in the Web-based User Management application the system sends the data to the SAP CRM system and the following occurs in the backend SAP CRM system:

·         A business partner is created in the General role the backend system. This occurs in the transaction BP. In the SAP Easy Access Menu choose Master Data ® Business Partners ®Maintain Business Partner (transaction BP). For more information, see Structure linkBusiness Partners.

·         The same business partner is maintained in the Contact person role and assigned to a company using the Relationships function Is Contact Person For.

·         The business partner is then be maintained in the Internet User role and the user alias or ID, created in SU01, assigned to the necessary fields on the Internet User tab page. The system then enters the SU01 user data in the business partner details and the various components of the user construct are mapped

       3.      The system automatically sends the user and password to the superuser so that the superuser can log on to the Web-based User Management application.

       4.      The superuser logs on to the Web-based User Management application and changes the password.

       5.      The superuser creates an Internet user for the B2B Web shop.

The B2B Web shop Internet user is made up of the same components as the superuser as described in the note above

       6.      The superuser can reset or change passwords for the users he has created, delete expired users, and manage user authorizations.
