Business object of the Account Management (FS-AM) system depicting a periodically generated payment order credited to or debited from one or more recipient accounts. Standing orders with one recipient item are called single or individual standing orders, and those with multiple order recipient items, are called collective standing orders. You can differentiate between standing orders with a fixed amount (where the amount is always the same) and those with a variable amount.

Structure

In Account Management, the standing order is a feature of the account. For more information about editing account contract features, see Editing Features. In addition, the standing order has a feature attribute in the product. For more information about product attributes and their characteristics, see: Product.

You manage standing orders for each account on a time-dependent basis. The transaction type forms the basis of a standing order. You define transaction types in Customizing for Account Management (FS-AM) under Start of the navigation path Item Management Next navigation step Basic Functions Next navigation step Transaction Types and Transaction Type Groups Next navigation step Maintain and Assign Transaction Types for Payment Items End of the navigation path.

Methods

In Account Management (FS-AM), you can use one of the following channels for processing objects:

  • Dialog

  • Business Application Programming Interface (BAPI)

  • Direct Input (DI)

  • Enterprise Services

Customizing

You make the settings for standing orders in Customizing for Account Management (FS-AM) under Start of the navigation path Order Management Next navigation step Standing Order End of the navigation path.

You make the settings for correspondence under Start of the navigation path Order Management Next navigation step Payment Order Next navigation step Correspondence End of the navigation path.

Checks Made by the System

When you create or change standing orders, the system checks whether the following conditions are met:

  • The required entry fields Transaction Type and Payment Method have been filled.

  • You have entered the required data for the ordering party (initial screen) and the order recipient. This depends on the selected transation type and the selected payment method.

  • You have entered at least one order recipient item.

  • You have entered a transaction amount and a transaction currency for standing orders with a fixed amount.

  • The maximum transfer amount for variable standing orders is not less than the minimum transfer amount.

  • The value or the total of the values for percentile execution (for variable standing orders) equals 100%.

  • You have specified how often and on which key date the standing order is to be executed (time periods).

  • You have stored an offsetting transaction type for the transaction type in the Customizing settings.

  • If you want to execute SEPA direct debits as standing orders, you must specify a recurring use mandate. You can only create SEPA direct debits as standing orders if you use an internal mandate.

Release Check

The system can check standing orders against the characteristic value of their release attributes. If the system identifies a standing order as being subject to release, it forwards it to the release workflow. For more information, see Release Object STOR (Standing Order).

Archiving

You can specify whether standing orders are archived or deleted physically from the database once a certain period of time has expired. You define this period of time for each bank posting area, transaction type, product category, and product in Customizing forAccount Management under Start of the navigation path Order Management Next navigation step Payment Order Next navigation step Archiving Next navigation step Define Residence Time for Payment Orders (object STANDORDER) End of the navigation path.

On the SAP Easy Access screen, you can display archived reconciliation data by choosing Start of the navigation path Financial Services Next navigation step Account Management Next navigation step Archiving Next navigation step Data Display Next navigation step Standing Orders (archiving object STANDORDER) End of the navigation path.

If you want to archive a standing order, the system checks whether the following requirements have been met:

  • The status of the standing order must be Deleted or Rejected.

  • All the payment orders generated by the standing order must be archived.

  • If there are multiple standing orders for an account and you wish to delete the standing order with the highest standing order number, the underlying account must be closed and the reactivation period must have expired (see Account Closure).

  • If you have implemented the Business Add-In (BAdI) Archivability of Standing Orders, the archiving status of archiving object Standing Order must be Archivable.

Correspondence

Note Note

Before correspondence can be generated, you have to make settings for the correspondence tool in Customizing for Account Management under Start of the navigation path Tools Next navigation step Correspondence Tool End of the navigation path. For more information, see Correspondence in Account Management.

You can create the following types of correspondence for standing orders.

  • Execution of a standing order

    • Confirmation of Execution (Correspondence Type BAS5)

      The system creates a confirmation of execution if you have made the following Customizing settings:

      • For individual standing orders: On the Time Period tab page of the corresponding standing order, you have selected the Confirmation of Execution checkbox.

      • General settings for all standing orders: In Customizing for Account Management under Start of the navigation path Order Management Next navigation step Payment Order Next navigation step Correspondence Next navigation step Assign Transaction Type to Charge Key End of the navigation path, you have selected the relevant checkboxes for the transaction types used.

    • Notification of Non-Execution (Correspondence Type BAS4)

      The system creates a notification of non-execution if it rejects a standing order, for example due to insufficient funds or account locks. You can store the possible reasons for rejection of standing orders in Customizing for Account Management under Start of the navigation path Item Management Next navigation step Basic Functions Next navigation step Define Rejection Reasons.     • If you have made the following settings in addition to the general settings for bank statements in Customizing for Account Management, the system creates an event-controlled bank statement if a standing order is not executed:

  • Creation, change, or deteletion of standing order

    Note Note

    For the correspondence settings for dialog processing of standing orders, the General Correspondence and No Correspondence checkboxes are available on the Transaction tab page. For more information, see the documentation for the fields in the system.

    • Notice of Deletion (Correspondence Type BAS4)

      If a standing order could not be executed several times, the system creates a notice of deletion before it deletes the standing order. For more information, see the documentation for the Customizing activity Define Maximum Number of Failed Attempts.

    • Confirmation of Deletion (BAS3)

      If you delete a standing order in dialog processing, the system creates a confirmation of deletion.

      Note Note

      Using the BAdICorrespondence Control – Automatic Standing Order Deletion, you can suppress creation of the confirmation of deletion when the system deletes standing orders because their last execution date has been reached. This can be meaningful if you wish to prevent your customers from receiving up to three letters within a short space of time (confirmation of change, confirmation of execution and confirmation of deletion, for example).

    • Confirmation of Creation (Correspondence Type BAS1)

      If you create a standing order in dialog processing, the system creates a confirmation of creation.

    • Confirmation of Change (Correspondence Type BAS2)

      If you change a standing order in dialog processing, the system creates a confirmation of change.

Note Note

If you delete a standing order using BAPI, the system does not create, the confirmation of creation, change, or deletion automatically. In this case, you can use the RUNCORRESPONDENCE parameter to determine whether the system creates this correspondence. For single standing orders, the NOCORRESPONDENCE parameter is available.

If you process the creation, change, or termination using Direct Input, the system creates no correspondence.

Charges

You can create charges for the standing order in the following cases:

Before you can levy charges, you must have made the general settings for the financial conditions. Posting these charges depends on the general and individual condition settings for the ordering party account. You can override these in the dialog functions of the standing order. On the Transaction tab page. the No Charge tab page is available. For more information, see the documentation for the field in the system.

  • Execution of a standing order

    • Confirmation of execution and notification of non-execution

      The system calculates charges based on the settings for the ordering party account. If you want to create the correspondence without charges, you must make one of the following settings:

      • For individual standing orders: On the Time Period tab page of the corresponding standing order, select the Confirmation of Execution checkbox.

      • General settings for all standing orders: In Customizing for Account Management under Start of the navigation path Order Management Next navigation step Payment Order Next navigation step Correspondence Next navigation step Assign Transaction Type to Charge Key End of the navigation path, do not assign any charge keys to the transaction types used.

  • Creation, change, or deteletion of standing order and associated correspondence

    The system calculates charges based on the settings for the ordering party account. If you do not want to calculate charges, you must make one of the following settings:

    • For individual standing orders: On the Time Period tab page of the corresponding standing order, select the No Charge checkbox.

    • General settings for all standing orders: In Customizing for Account Management under Start of the navigation path Order Management Next navigation step Payment Order Next navigation step Correspondence Next navigation step Assign Transaction Type to Charge Key End of the navigation path, do not assign any charge keys to the transaction types used.

Change Document

The system generates a change document that meets auditing requirements. All changes you make to standing order data are logged in change documents. You can call these in the standing order functions under Start of the navigation path Extras Next navigation step Change Documents End of the navigation path.

You can configure the display of change documents in Customizing under Define Display of Change Documents.

In Customizing, choose Start of the navigation path Order Management Next navigation step Standing Order Next navigation step Define Change Document Display End of the navigation path to define whether and in which order you want the individual attributes of a change document displayed on the Display Change Documents screen. In addition, you define the standard settings for the selection criteria.

Work Item in the Release Workflow

The system generates a work item for the release process, if required on the basis of the Customizing settings.

Payment Order

When a standing order is executed, the system generates a payment order.

Note Note

In the case of a SEPA direct debit, the mandate data is saved with the payment order when the standing order is executed. For example, if the creditor ID is changed before the standing order is executed, the system updates this data in the payment order when the payment order is executed.

List of Standing Order Changes

Thanks to the time dependency of standing orders, the system can store multiple standing order changes to the ordering party data, separately from one another. No details of the recipient items are displayed, because for collective standing orders, the list could become too long and unmanageable.
