Checks for Individual Participants

The following applies to time-dependent courses.
When you book individual participants for a course, the system carries out the following checks:
· Existence
The system checks whether the participant exists in the course period. If, for example, the validity start date of a contract of employment is after the course start date, you cannot make the booking.
· Lock
The system checks whether another user is currently editing the participant or the course. In this case, a message to this effect is output.
· Availability
The system checks whether a participant is booked to hold a course as instructor in this period. If so, participation cannot be booked.
The system checks whether there is a conflicting booking for another course in the same time period.
· Capacity (for normal and essential bookings)
The system checks whether optimum capacity has been reached. If it has, only essential bookings up to maximum capacity are allowed.
The system checks whether maximum capacity has been reached. If it has, only essential bookings with displacement are allowed.

If there is already an essential or a normal booking for a participant for the same course, the capacity checks are omitted. The first booking is overwritten.
· Absence/attendance
If you are working with integration with Time Management, the system reads the employee’s personal shift schedule and attendance records to check whether the person is available in the course period.
You define how the system should react in Customizing for Training Management under Integration ® Time Management ® Define Incompatible Attendance and Absence Types.
· Participation prerequisites
A check can be carried out to see whether the participant has the required knowledge and qualifications attained by participation in other prerequisite courses. This check is optional.
· Bookings or prebookings for courses of the same type. This check is optional.
A check can be carried out to see whether the participant is already booked for or has already participated in a course of the same type. This check is optional.
A check can be carried out to see whether the participant is already prebooked for a course of the same type. This check is optional.
· Participant’s qualifications
A check can be carried out to see whether the participant has the necessary qualifications or alternative qualifications to participate in the course. This check is optional.
