Procedure documentationPlanning an Appointment

You can use these functions to plan an appointment or move one or more appointments.

See Moving an Appointment Block

Procedure

  1. In the worklist of the planning grid you select the desired patient, service, request or clinical order.

If you select a request or clinical order, the system will plan all services for this request or clinical order for the same appointment.

When you select a clinical order, request or service, the planning grid will automatically activate the time grid of the organizational unit (OU) concerned. You can also toggle to other OUs which lie within your planning authority.

  2. You move the mouse pointer over the time grid.

  3. You position the mouse pointer on the desired appointment and define the appointment using Plan Appointment (Plan Appointment) or by double-clicking.

Depending on the OU parameter N1PTBKED, which controls whether the system calls a processing dialog when planning an appointment, you access the Edit Appointments dialog box.

    Note Note

In the settings for the day program of a planning object you can store the department, the specialty, the treatment room (for person planning objects) or the treatment person (for building unit planning objects, for each combination of time period and scheduling type. If you have defined these day program settings, the system will use them to preset appointments according to the appointment planning functions of SAP Patient Management (IS-H).

As standard the system will not preset the time when you double-click in the area for day-based appointments. You should also not enter this for day-based appointments. The system presets the scheduling type using the OU parameter OE_DISPTYP.

When you double-click in the area for time-based appointments with planning authority and a time slot, the system will preset the start time according to the OU parameter N1PTTMNZT.

    End of the note.

    Example Example

In visit scheduling, an outpatient clinic allocates appointments of 60-minutes duration between 8 a.m. and 12 noon. With restricted time slot overbooking you can book appointments every 60 minutes, according to the time slot. If, however, an appointment only lasts 30 minutes, instead of the planned 60 minutes, the system will bring the time slot for the next appointment forward by 30 minutes. The check for possible overbooking is thus based on the dynamically modified time slot.

Unlike in visit scheduling, the planning grid displays all planned appointments with a duration of 60 minutes. The check for possible overbooking is thus based on this data.

Note that in planning tools without a graphical display (for example, appointment editor), if i.s.h.med is active, the check is always based on the time slots defined in customizing.

This function is available to you if you have activated the business function Clinical System Situation-Based Clinical Documentation (ISHMED_SCD).

Note that when the following circumstances concur, an appointment selected in visit scheduling can trigger an error message when the clinical order is checked:

    • i.s.h.med is active

    • the user has no authorization to overbook the time slot

    • the graphical planning tool used for the clinical order is visit scheduling

See Organizational Unit-Related Parameters for Clinical Orders

We recommend that you use the planning grid as the graphical planning tool.

    End of the example.
  4. You can change or supplement the patient data.

  5. In the appointment overview you can enter additional information, for example, medical text, transport type, visit type, etc.

    Note Note

To change the layout or use a different layout, choose Layout (Layout).

    End of the note.
  6. Choose - (-) to confirm these settings. The system will then assign all selected services to the new appointment.

If the services had already been assigned to an appointment, the system will reschedule the previous appointment to the currently desired time. This will, of course, only apply if no other services were scheduled for the old appointment.

In the worklist, the system flags the service as Scheduled (Scheduled).

The newly-scheduled appointment will then appear in the Patient's Appointments screen area.

  7. You can vary the Duration of the Appointment in the time grid by dragging the lower edge of the appointment.

  8. Once you have planned all services in a clinical order or a request, the system will remove this from the worklist.
