Search and Data Output in the Specification Information System

Purpose

See Specification Information System.

Prerequisites

  • In Customizing for Basic Data and Tools, you have made settings in the Specification Information System section.

  • You have display authorization for specification data.

    Note Note

    A usage check is made for active usages of a value assignment data record. If there is no active usage for a data record, the system checks whether the user has general authorization.

  • If you want to use the different output variants, you require display authorization for output variant group EMPTY.

Process

  1. You access the Specification Information System from the Specification Workbench. You have access to the same search options as in Specification Management (see Specification Search).

  2. The search results are displayed in the Hit List and can be adjusted from there.

  3. In the specification workbench, you can display the data for a selected specification. For example, directly from the property tree you can display individual properties with all additional information. To output data of multiple properties and additional specification data, such as identifiers, select an output variant and start output. For the output of substance data, that is data from specifications of specification category Substance, the standard system provides the following output variants:

For the reasons described below, we recommend the use of output variant SUB_OUTPUT:

  • You can use this output variant to output all specification data, that is all header and value assignment data.

  • This output variant offers an intuitive output layout that you use to define which data is output and how it is arranged and presented (in the SAP system, Microsoft Excel, or HTML browser). This means that you can configure the output to suit your specific needs.

All output variants are provided as user exits, meaning that you can define your own additional output variants in Customizing for Basic Data and Tools under Manage User Exits. The output variants included in the standard system and all other output variants defined in Customizing are listed in the Group Overview of output variants (the EMPTY group).

With all output variants, except for the display of assignments to regulatory lists (SUBLIST), you can display data for value assignment types. To output variants COMPONENT, EXCEL, EXCEL-LAB, EXCEL-REG and VALUATION, you can also assign value assignment types as default settings in Customizing. You can use all output variants defined in Customizing as templates for creating your own output variants by setting other value assignment types for the output for example. To do this, you can copy and edit output variants in the group overview of output variants. In the group overview, you can also move the newly created output variants between groups and delete them and also edit the header data of the output variants. You can select the output variants you have created and those created in Customizing at any time for output.
