Report Shipping with and Without Specification References

Purpose

The processes for generating reports and shipping reports depend on whether reports contain specification data. The various areas of use for reports are dependent on:

  • The respective report applicationwhose symbols are included on the layout of a document template

    You can define other report applications in the IMG activity Specify Report Applications in Customizing for Product Safety.

  • The report category you assign to the generation variant in addition to the document template, which must match the report applications of the generation variant

    In Customizing for Product Safety under Specify Report Categories , the business process that together with the cause of shipping forms the shipping reason is assigned to the report category. You control report shipping via the shipping reason.

You create specification symbols, for example, in the layout of the document template.

You do not create specification symbols in the layout of the report template, but you create symbols of another report application (for example, Work area or Accident Victim ).

You assign the released document template and a suitable report category to a generation variant. The generation variant is therefore also valid for the report application Specification Master and applies, for example, for reports of the report category Material Safety Data Sheet .

You execute the first stage of the generation and generate a report for a specification with the generation variant: on the report, the symbols for phrases and specification data are replaced by actual data.

Using the Report Information System

Report shipping can be manual or automatic. When shipped, the parameter symbols are replaced with actual data.

Report shipping is always manual.

When the final report is generated, all symbols (descriptor symbols and parameter symbols) are replaced with actual data.

These include reports for the report application Specification Master and Material Master that have, for example, the report category Material Safety Data Sheet .

Note Note

Labels can be with or without a specification reference. Labels that are loaded with the Labeling Tool cannot be exported, sent, or printed via the SAP spool.

Triggering Shipping from the Report Information System

In the report information system , you can select the reports using search criteria. The search result is displayed as a report tree .

You can trigger report shipping manually from the report tree in the specification information system (see Manual Report Shipping and Creating Report Shipping Orders Manually ).

After you have triggered shipping of a report, the report shipping order is available for display and editing (see Editing Report Shipping Orders ).
