You can use archiving object HR: Cost Distribution (HRPA_COSTD) to destroy data for distributing the costs for an employee to different account assignment objects. The archiving object destroys data from infotype Cost Distribution (0027) and is subdivided into archiving subobjects. The subtypes of the infotype Cost Distribution each correspond to an archiving subobject:

  • 01 Wage/Salary

  • 02 Travel expenses

Data is destroyed after the end of a fixed retention period. You can define different retention rules for each archiving subobject. After you have successfully destroyed the data, the system generates a destruction log for each archiving subobject. The system automatically prevents data from being created or edited for this archiving subobject (subtype) for the destruction period.

The archiving object destroys other dependent data. To display a complete overview of the relevant database tables, choose DB Tables in Archive Administration (transaction SARA).

If the data relating to the cost distribution of an employee is relevant for a legal case, you can block the destruction of the corresponding data records. To do so, in the infotype Legal Hold (3246), create a legal hold for the employee's data, which is stored in infotype 0027. In the data destruction session, the personnel number is skipped and the data records remain in the system. For more information, see Legal Hold.

You are familiar with the basics of data destruction, as well as the functions for ILM policies and rules, and have defined the retention rules for the archiving object.
