Generation of Destruction Log
The system automatically creates a destruction log for destroyed personal master data from Human Resources infotypes.
A subtype must be created for the infotype Archiving/Data Destruction
(0283) for each archiving object for which destruction logs are to be created. You can check these entries in the view Subtypes for Infotype 0283 and Infotype 3246
(V_T77PAARC_SUBTY
).
If you have successfully run the preprocessing program for an archiving object, the system creates a data record in the infotype Archiving/Data Destruction
for each personnel number that was taken into account in this run. If there are also archiving subobjects for an archiving object, the system creates a data record for each archiving subobject. The archiving subobject is displayed in the data record for infotype 0283.
Example
You can use the archiving object HR: Absences
(HRTIM_ABS
) to destroy data for the archiving subobject URLAUB
(groupings of subtypes for vacation) and for the archiving subobject KRANKHEIT
(groupings of subtypes for illness). A separate data record is created in infotype 0283 for each grouping of absence types.
After preprocessing, the destruction log has the status Prepared for Data Destruction
. After you have run the delete program, the system sets this status to Destroyed
automatically.
Note
If a personnel number is selected for data destruction as a result of a valid retention rule, but there are no data records that can be destroyed, the system sets the status for this data record to Destroyed
in infotype 0283 in the preprocessing phase. This is necessary so that no information can be derived from existing and non-existent destruction logs.
The system locks the creation and editing of data in the destruction period, for example, using the application Maintain HR Master Data
(transaction PA30
). The start date (first data record of infotype 0283) is the earliest system date (01/01/1800), the end date is the end date of the generated destruction log.
