An archiving subobject is the subdivision of a Human Resources archiving object based on subtypes or infotypes.

Structure

Archiving subobjects can be divided differently.

  • Subtype group as archiving subobject

    The archiving subobject comprises a group of infotype subtypes for which the same retention rule applies.

    Example Example

    In the archiving object HR: Absences (HRTIM_ABS), you can collectively destroy all data records for illness or all data records for leave for a subtype group (VACATION or ILLNESS) of the infotype Absences (2001). Each subtype group forms an archiving subobject. Different retention periods apply to each subtype group. During a data destruction session, a destruction log is written automatically in the infotype Archiving/Data Destruction (infotype 0283) for each archiving subobject. For the period in which you have destroyed data for the subtype group VACATION, for example, the system prevents new data from being created for subtypes of this subtype group.

  • Individual subtype as archiving subobject

    The archiving subobject comprises an individual subtype of an infotype since different retention rules apply to the subtypes of this infotype.

    Example Example

    In the archiving object HR: Loans (HRPA_LOAN), you can destroy all data on individual subtypes of the infotype Loans (0045) separately based on the loan type, for example:

    • All data records for the subtype Building Loan with Installment Repayment (0100)

    • All data records for the subtype Personal Loan with Installment Repayment (0120)

    Each subtype forms an archiving subobject. During a data destruction session, a destruction log is written automatically in the infotype Archiving/Data Destruction (0283) for each archiving subobject. For the period in which you have destroyed data for the subtype 0120, for example, the system prevents new data from being created for this loan type.

  • Infotype as archiving subobject

    An archiving object comprises multiple infotypes, where one or more infotypes are divided into archiving subobjects based on their different retention periods.

    Example Example

    The archiving object HR: Master Data PS (HRCDEPS) comprises the following archiving subobjects:

    • VBL_ZVE_DATEN

      All data records for the infotype ASB/SPI Data (0051) form an archiving subobject.

    • KINDERGELDDATEN

      All data records for the following infotypes are grouped in an additional archiving subobject and are destroyed together:

      • Child Allowance (0118)

      • Definition of child allow.(pre1996) (0119)

      • Child Allowance D (0232)
