You can use the Order application to create, change, and display maintenance orders.

In addition to the standard functions for planning maintenance work, this application has functions for helping to ensure that work is executed safely. Using this application, maintenance planners or safety specialists, for example, can evaluate the risks associated with the order and assign the appropriate safety measures.

Integration

  • This application is based on the back-end transactions for creating, changing, and displaying maintenance orders (IW31, IW32, and IW33), but with a reduced and more streamlined set of data entry options and functions. These are described in this documentation.

  • The integration of an external risk management system facilitates the planning of safe maintenance work by providing planners with information about the potential risks associated with the order and the appropriate responses. This application supports the integration of SAP BusinessObjects Risk Management as standard. For more information, see SAP BusinessObjects Risk Management Integration.

  • Work clearance management (WCM) is recommended for ensuring a safe working environment in industries that are subject to specific safety regulations, for example, the oil and gas industry. This application supports the integration of WCM work permits into the planning of safety-critical maintenance processes. By adding WCM requirements and WCM templates as safety measures in the safety plan, you can work more efficiently with work permits. The integration of an external risk management system, such as SAP BusinessObjects Risk Management, supports this process further.   • Business Context Viewer (BCV) is integrated into this application. You can view business content and analytical information for an order in the side panel. For more information, see Business Context Viewer (BCV) Integration.

  • The print function of this application can be used to transfer orders to the maintenance worker's job list by setting the required status and to generate the job card. For more information, see Job List and Display Job Card in the Business Package for Maintenance Worker.

  • The embedded search of SAP NetWeaver Enterprise Search is integrated into the input help for selecting technical objects. For more information, see Defining Input Help for Technical Objects.

Prerequisites

  • If you are integrating safety information into maintenance planning, you have performed the following activities:

    • You have specified the maintenance planning plants in which safety information is required for the execution of maintenance work. You do this in Customizing for Plant Maintenance and Customer Service under Start of the navigation path Master Data in Plant Maintenance and Customer Service Next navigation step Basic Settings Next navigation step Worker Safety End of the navigation path.

    • You have added objects to the safety measure list. For more information, see Change Safety Measure List.

      Note that you do not have to add WCM requirements and WCM object templates used as safety measures to the safety measure list.

  • On your local client, you have installed the whitelist that specifies the directories that can be used for document uploads. This is necessary if the add-on software component PLMWUI is active. For more information, see SAP Note 1224097Information published on SAP site.

Features

Integrated Application for Order and Notification

The application for orders and the application for notifications is a single integrated application. You can seamlessly switch between order and assigned notification within the same application window.

Order Information

You can view and edit standard information for planning an order on the relevant tab pages. This includes the following:

  • General order information, such as start and finish dates, reference object, responsible work center, and planning plant

  • Location information, including linear data if the reference object is a linear asset

  • Order assignment to a project and internal or external partners

  • Cost information

  • Supporting documents

  • Order operations including scheduling information, planned materials, suboperations, and production resources/tools

    For externally-processed operations, you can view and edit information relating to service specifications.

Notification Assignment

If a notification is assigned to the order, you can view it seamlessly within the same application window. If not, you can assign one by either selecting an existing notification or creating a new one. It is also possible to delete an existing notification assignment.

Task List Assignment

You can use task lists to plan some or all of the maintenance work in the order. When you assign a task list to the order, its operations are included in the order. You can subsequently adapt these to meet the requirements of the order. When you assign a task list, it is also possible to have all the existing operations in the order deleted.

You can display an assigned task list in the corresponding application. However, if several task lists are assigned, you can only display the last one assigned.

Status

You can view the user and system statuses of an order by choosing the corresponding pushbutton. You can also manually change the system status of an order. After you have created an order and entered all required information, you can release it. You can subsequently complete it technically. If you are working with WCM-relevant orders, you can also set the Work Completed (WOCO) status. This is a prerequisite for technical completion and also makes all further processing of work permits impossible.

Permits

You use permits to ensure that special approval is obtained for maintenance work. You can view the permits assigned to an order either directly or indirectly from the reference object or task list. You can delete existing assignments and create new ones.

It is also possible to approve permits in the order. Depending on how a permit is configured, its approval may be mandatory or optional before you can release or confirm the order. You can revoke the approval of a permit as long as the order has not already been released or mandatory approval has not already been granted.

If an order is WCM-relevant, you can view detailed information about assigned work permits, for example, validity period, processing status, and approval status. The following functions are also available for work permits:

  • Request new

  • Change

  • Display

  • Copy

  • Print

  • Extend validity

  • Close

Note that when you request a new work permit or copy an existing one, you navigate to the work permit application. You must therefore refresh the list of work permits in the order to see the new work permit.

Safety Measures

In addition to the objects required for the actual execution of an order and its operations, it is also possible to assign certain standard object types as safety measures, for example, task lists, documents, and PRTs. If an object assigned in the order is a safety measure, its Safety Relevance/Action field contains a value and it is included in the safety plan.

Safety Plan

You use the safety plan to ensure that safety is transparently and comprehensively considered during maintenance planning and maintenance execution. For more information, see Safety Plan.

Additional Functions

The following additional functions are available from the corresponding menu:

  • Add the order to your list of favorites.

  • Print the shop papers of the order either physically to an actual output device or virtually to the job card (output device Job Card).

  • Attach a new document

    This function allows you to upload a document that does not yet exist in your document management system. Once you have selected and uploaded a document in the document upload application, the system creates a new document info record and includes the document on the Documents tab of the order. You must save the order to complete the attachment.
