Integration in Time Management

Use

Using integration in the SAP Time Management (PT) component, you can make use of relevant information from human resources when entering the details of an accident and, in the case of absences, also create data records in human resources.

Integration relates to the person affected. Integration applies only to employeesand not to external persons and applicants .

Prerequisites

In order to be able to use integration in Time Management , you must have made the following settings when you set up the system:

  • Specify environment parameters

    In Customizing for SAP EH&S Basic Data and Tools under Specify Environment Parameters you must have entered the corresponding RFC destination for the environment parameter DEST_HR .

  • Assign authorizations

    You require the necessary display authorizations for Time Management . To create and edit absences you also require edit authorization. For more information on authorizations, see Check Time Management Customizing in the Implementation Guide (IMG) for Industrial Hygiene and Safety .

  • Assign accident categories to absence types

    To be able to access the absence types you require in Time Management , you must have made the necessary settings in Customizing for Industrial Hygiene and Safety under Assign Accident Categories to Absence Types .

Read Working Time Data for the Person Affected

The system reads the working time data you need to process the accident from Time Management and enters it in the corresponding fields in the incident/accident log entry.

Example: Start and end of normal working time.

Transfer, Create, and Edit Absences

If accident-related absences exist for the person affected in Time Management , the system proposes them for transfer to the incident/accident log . You can select the appropriate absence and transfer it to your incident/accident log entry. You can edit an absence from the incident/accident log entry once you have transferred it. And you can also undo the transfer.

If an absence does not yet exist in Time Management , you can create an absence record in Time Management directly from the incident/accident log entry. You can only create absences that relate to an accident event.

Background documentation 

The working time data is managed in Time Management in the time overview for an employee. The time overview comprises numerous infotypes, for example, Actions , Organizational assignment , Personal data , Planned working time , Absences , Attendances , Substitutions , Overtime .

An employee’s absences are managed in the infotype 2001 that is included in the time overview.

Output onReports

You can print the information you obtained through integration together with the other data for the accident event on documents such as accident notifications .

Integrated Fields in the Incident/Accident Log

The following table shows which fields of an incident/accident log entry are integrated in Time Management .

Display: The value is read from Time Management and displayed in the incident/accident log .

Create and Edit: The value can be created, edited, and deleted in Time Management from the incident/accident log .

When you create an absence, the system calculates a proposed value for the start and end of the absence from the date of ceasing to work : ceased work + 1 day = proposed value.

Absence type

The absence type categorizes the reason for the absence, for example, industrial accident, accident en route to work.

When you create an absence, the system proposes the absence type that was set in Customizing for Industrial Hygiene and Safety under Assign Accident Categories to Absence Types .

Absence start

You can overwrite the proposed value calculated from the date of ceasing work when you create the absence.

End of absence

You can overwrite the proposed value calculated from the date of ceasing work when you create the absence.

Absence days

The value is determined from the difference between the end and start date of the absence.

Absence hours

(access by choosing Create HR absence )

The value is calculated from the personal work schedule. It is required to determine the number of hours worked when calculating the 1000-employee quota. You can determine the 1000-employee quota as a report .

Calendar days

Specifies the number of calendar days between the start and end date of the absence.

End of continued pay

(access by choosing Create HR absence )

Pay is continued up to and including this date. The value is read from the infotype Contract elements .

Return to work

The date is calculated from the End of absence and the employee’s work schedule . It is the next working day in the work schedule after the end of the absence.

Person’s age

The age is calculated from the accident date and the employee’s date of birth.

Time at work center

The value is calculated from the date of taking up the positionand the accident date. The result is displayed as a proposed value.

Work schedule

Displays the work schedule valid for the employee on the day of the event.

Start and end of normal working time

The values are read from the employee’s work schedule.

Lost shifts

The value is read from the employee’s work schedule.

Using the environment parameter IAL_FLG_NEW_TIMEDATA_TAB, you can display the new Time Data tab page. This offers you a range of additional options relating to the use of multiple absences and restrictions .
