Prerequisites

Document items are to be created by copying document items to reduce the amount of data to be entered when creating or changing sales documents.

An online item is to be created by copying an online item with the same ad spec or a credit memo item is to be created by copying an ad item for which a complaint has been made.

You have defined copying variants for document items and for creating document flows in Customizing.

Use of copying functions

By copying a sales document, you are creating a new sales document with one or more document items.

By copying a document item, you are creating a new document item in an existing sales document.

The Creation of Document Items with Reference to Schedule Lines or Creation of Document Items with Reference to Billing Datasets functions can be used to copy schedule lines or billing datasets into a document item.

The type of business transaction to be replicated in the system determines which function you use to copy a document item. In normal circumstances, you use the Create with template and Create with reference functions.

Create with template or reference

Creation of document flows distinguishes the Create with template and Create with reference functions. Document flow shows the document item that precedes a follow-on item or the follow-on item into which a template item is to be copied.

  • No document flow is created by the Create with template function, meaning that no follow-on document item is created.

If all item data in an ad item is to be copied into a new ad item because the sold-to party, booking unit, content component and ad spec are identical, it is not necessary to identify that the new ad item has been produced from an existing ad item. Choose a copying variant for ad items that copies all item data with the exception of the publication date.

  • A document flow is created for the Create with reference function, meaning that a follow-on item is created.

If data for an ad item for which a complaint has been made is to be copied into a credit memo item, it can be useful to know that the credit memo item has been produced from this ad item and that this business transaction has been replicated in a sales document. Choose a copying variant for ad items that copies all item data with the exception of the item category and publication date.

Create with template repetition

The Create with template repetition function is used to copy the same document item several times . You do not need to specify a copying variant here.

If entries are created in a commercial register by copying all item data with the exception of the text for the ad item, this avoids the need to select the copying variant each time.

Note Note

By creating a document item with template repetition, you are creating a document item in an existing sales document for each entry in the commercial register. By creating a sales document with template repetition, you are creating a sales document for each entry in the commercial register.

Select copying variants

You must specify a copying variant when using the Create with template and Create with reference functions. The copying variant defines which data in a document item is copied.

You can select copying variants as follows when copying document items:

All copying variants defined for the item type specified for which the New order and Copy w.template (Block group ) indicators have not been selected are available for selection.

Classified order entry offers you all copying variants that have been defined for ad items and for which the New order and Copy w.template (Block group ) indicators have not been selected for selection.

If there is only one suitable copying variant, you are offered this for confirmation. If more than one suitable copying variant is available, you are offered these possible copying variants for selection.

Create with reference

All copying variants in which the New order and Copy w.ref. indicators ( Block group) have not been selected, and that have been defined in document flow control as admissible copying variants for the sales document type and item category are available for selection.

If there is only one suitable copying variant, the system uses this to create the document item. If more than one suitable copying variant is available, you are offered these possible copying variants for selection.

Create with template repetition

Copying variants cannot be selected for this function.

The system uses the copying variants that were used during the last copying run if you have not selected the Cpy.templ.rep . ( Block group ) indicator for this copying variant in Customizing.

Business partner data is copied as follows when document items are copied:

  • If a blocking indicator has been selected in the sold-to party, advertiser or payer master data, the system displays an error message during copying.

  • If credit queries or creditworthiness information has been entered in the sold-to party or payer master data, the system can display a warning or an error message during copying. You have defined system response here when you defined the creditworthiness or credit query fields in Customizing.

  • If you have entered a customer profile in which the Query bank details indicator has been selected in the payer master data, the system displays the bank details for checking and selection purposes during copying.

Cancel document items

If the Cancel template item indicator has been selected in a copying variant, the template item can be cancelled during copying. If you have not specified a cancellation reason in the copying variant, you must do so during copying.

It can be useful to cancel a template item during copying if you have created the order item for a cash sale using the standard item category in error.

Note that the template item can only be cancelled if the item status allows cancellation.
