Copying of Sales Documents

Use

This function consists of the Create with template, Create with template repetition and Create with reference functions that are used to create sales documents by copying existing document items.

Prerequisites

Sales documents are to be created by copying existing document items to reduce the amount of data to be entered when creating or changing sales documents.

This can include creating an ad order for a campaign by copying an order for a similar campaign or converting an offer to an order.

You have defined copying variants for sales documents document flows in Customizing.

Use of copying functions

By copying a document item, you are creating a new document item in an existing sales document.

By copying a sales document, you are creating a new sales document with one or more document items.

Document items that come from different sales documents or those that have different item types cannot be used as a copying template.

Document items with different item categories can be used as a copying template for the Create with reference function, if a copying variant has been defined for each item category of this sales document type in document flow control. If several copying variants have been specified for item categories in selected document items, the system offers you these for selection.

The type of business transaction to be replicated in the system determines which function you use to copy a sales document.

Create with template or reference

In normal circumstances, you use the Create with template function.

Creation of document flows distinguishes the Create with template and Create with reference functions. Document flow identifies the sales document that precedes a follow-on document or the follow-on document into which a template document has been copied.

  • No document flow is created for the Create with template function, meaning that no follow-on document is created.

If all item data in an ad item is to be copied into a new ad order because the sold-to party, booking unit, content component and ad spec are identical, it is not necessary to identify that the new ad order has been produced from an existing ad order. Choose a copying variant for sales documents that copies all order data with the exception of the publication date.

  • A document flow is created for the Create with reference function, meaning that a follow-on document is created.

If all item data for an offer is to be copied into an order because the offer and order data is identical, it can be useful to identify the fact that an order has been produced from an offer. Choose a copying variant that copies all offer data with the exception of the sales document type and the item category.

Create with template repetition

The Create with template repetition function is used to copy the same sales document several times. You do not need to specify a copying variant during copying.

If entries are created in a commercial register by copying an ad item, this avoids the need to select the copying variant each time.

No document flow is created by this function.

By creating a sales document with template repetition, you are creating a sales document for each entry in the commercial register. By creating a document item with template repetition, you are creating a document item in an existing sales document for each entry in the commercial register.

Select copying variants

You must specify a copying variant when using the Create with template and Create with reference functions. The copying variant defines which data in a sales document is copied.

You can select copying variants as follows when copying sales documents:

All copying variants for which the New order indicator has been selected and the Copy w.template (Block group ) indicator has not been selected are available for selection.

If there is only one suitable copying variant, you are offered this for confirmation. If more than one suitable copying variant is available, you are offered these possible copying variants for selection.

Create with reference

All copying variants in which the New order indicator is selected, the Copy w.ref. indicator ( Block group) has not been selected, and that have been defined in document flow control as admissible copying variants for the sales document type and item category are available for selection.

If there is only one suitable copying variant, the system uses this to create the sales document. If more than one suitable copying variant is available, you are offered these possible copying variants for selection.

Create with template repetition

Copying variants cannot be selected for this function.

The system uses the copying variants that were used during the last copying run if you have not selected the Cpy.templ.rep . ( Block group ) indicator for this copying variant in Customizing.

Business partner data is copied as follows when sales documents are copied:

  • If a blocking indicator has been selected in the sold-to party, advertiser or payer master data, the system displays an error message during copying.

  • If credit queries or creditworthiness information has been entered in the sold-to party or payer master data, the system can display a warning or an error message during copying. You have defined system response here when you defined the creditworthiness or credit query fields in Customizing.

  • If you have entered a customer profile in which the Query bank details indicator has been selected in the payer master data, the system displays the bank details for checking and selection purposes during copying.
