Display of Document Flows

Use

This function is used to display document flow for a sales document or document item.

Prerequisites

The system creates the document flow. You have created, billed or performed settlement for a sales document or a document item with reference.

Features

A sales document is an individual document that can be part of a chain of associated documents. Data flow between sales documents is referred to as document flow. Document flow is produced from the time sequence of sales activities and is created by the system.

Example Example

Customer A makes an inquiry regarding the price of a full-page four-color ad. You create a sales document of the Inquiry sales document type and formulate an offer. When you create the offer, you copy the data from the inquiry into a sales document of the Offer sales document type . You send the offer to customer A . Customer A places an ad order. You create the order by copying data from the offer into an Order sales document. This ad is published. The customer makes a complaint about the ad spec color scheme. You create a complaint and a credit memo. When you create a credit memo, you copy document item data in the order into the credit memo item.

If you display the document flow for a sales document or a document item, you receive the following information regardless of the document level:

  • Sales document from which the subsequent document has been produced.

  • Document item from which the subsequent item has been produced.

  • Billing dataset from which billing items in various billing documents have been produced.

  • Billing dataset from which the contract settlement item has been produced.

  • Billing items from all billing documents that have been produced from a billing dataset.

  • Sales document in which the preceding document has been skipped.

  • Document item in which the preceding item has been skipped.

  • Billing items in various billing documents that have been produced from a billing dataset.

  • Contract settlement item in which a billing dataset has been skipped.

If you change or display a sales document or a document item for which a subsequent document or a subsequent item has already been created, the system informs you that this is the case.

Note Note

You can display document flow in sales and billing documents. If you display a document flow in a billing document, you can access the document item or billing dataset for the sales document from document flow.
