Use the Scheduler section to set schedules that define how frequently to check for scorecard updates, load data from external sources, update PAS metrics, and sync user tables.

Application users can then subscribe to receive alerts in the My Alerts section of the Home component.

In response to the schedule, the application distributes email alerts and Home component notifications to subscribers when updates are detected. If a milestone's, objective's, or KPI's activity is detected during the Scheduler's periodic check, any user who subscribed to that activity and that particular object receives notification in the form of an email alert or Home component notification depending on how the users set up their notification methods.

Users can also subscribe to receive immediate nonscheduled alerts notifications in the My Alerts section of the Home component. When a user subscribes to email alerts or Home component notifications, they automatically receive notifications at these times:

  • An initiative's date, status, or milestones changed

  • A comment was added to an initiative

  • A comment was added to an objective

  • A comment was added to a KPI

Prerequisites

You are running the Administrator as the strategy management administrator. If the Scheduler is unavailable to you, it means you are not running the Administrator as an administrator.

For email notification to function correctly, the system administrator has set up mail connectivity. For information about this, see the Server Configuration Guide for SAP BusinessObjects Strategy Management located on SAP Service Marketplace.

Application users have subscribed to alerts in the My Alerts section of the Home component.

To set a Risk Management Batch schedule or a Risk Management Metrics schedule, you have implemented the GRC Interface to the application, and you have configured your system to display GRC risk information.

Features

You can set up schedules to do the following:

  • Update temporary user reassignments that are set in the Update User Responsibilities screen. The Reassign Owner activity adds temporary assignments, deletes temporary assignments, and returns temporary assignments back to the original owner.

    The start dates and end dates of all temporary assignments are reviewed. Any added, deleted, or expired reassignment that occurs on or before the schedule time is updated.

    For example, you can set a daily schedule to review assignments at 9:00 PM. If the schedule runs and detects a new temporary owner starting that day, the temporary assignment is carried out. If the schedule detects that a temporary assignment is ending that day, then the temporary assignment is reverted back to the original owner.

  • Alert subscribers when objective statuses and KPI statuses have changed from one period to another using the Scorecard Alerts activity.

  • Alert subscribers when initiative miltesones are coming due period using the Initiatives Alerts activity.

  • Acquire data from GRC using the Risk Management Batch activity. The Risk Management Batch schedule connects with the GRC system and populates strategy management tables in the SAP NetWeaver System database with the data used and displayed in the application.

  • Load PAS metrics using GRC risk data stored in a relational database using the Risk Management Metrics activity. The Risk Management Metrics schedule executes the procedure that loads the GRC risk data into PAS Metrics used in the application to create KPIs.

  • Synchronize user tables on a periodic basis using the Synchronize user tables activity.

    Note Note

    Anytime application users or system groups are added, modified, or deleted in the user management system, which is either SAP NetWeaver UME or SAP BusinessObjects Enterprise, the user tables must be synchronized. This refreshes the authorization cache and ensures that changes are propagated in the application.

    You can also synchronize user tables on an as needed basis by clicking Synchronize user tables in the Set System Defaults link in the Administration section. For information, see System Defaults Selection.

You can view the schedule set up for a task in the Runs column. If a task is not scheduled, or it is disabled, the Runs column shows a dash (-).

You can enable or disable all Scheduler notifications for a task type by selecting or deselecting Enabled next to the task. If you select this option, then subscribing users are notified about activity when the criteria is met. If you deselect this option, then the Scheduler does not run the schedule for this task and subscribers are not notified about activity.

You can edit a schedule for an activity by clicking Edit next to the activity.

Activities

To set up a schedule for a particular activity, click Add Task next to the activity, then click Edit and enter schedule information in the available fields.
