Procedure documentationAdding an Evaluation to a KPI Locate this document in the navigation structure

To display a KPI, you must associate it with an evaluation. An evaluation is a combination of filter settings and input parameters (the variant), thresholds, parameters, trends, and authorizations related to a KPI that defines what can be seen by the SAP Smart Business user at runtime.

Procedure

Applying a New or Existing Variant
  1. On the Evaluations step of the Add New KPI or Edit KPI screen, choose Add Evaluation to open the Add Evaluation screen.

To create a variant from scratch, on the Variant step, select Create New Variant and fill-out the following fields:

    • Variant ID:

Enter the full path to where the variant it is stored. You must enter the variant ID in English.

    • Variant Title:

Enter a meaningful title for the variant that helps you identify the purpose of the variant outside the context of the KPI.

    • Description:

Describe the purpose of the variant.

    • OData Path:

The OData path field is prefilled from the KPI definition.

    • Entity Set:

The entity set field is prefilled from the KPI definition.

    • Tags:

Enter relevant tags to make it easier to search for the variant.

    • Filter Settings:

Enter the filter parameters to limit the output to a specific business purpose (for example, limit the selection to Country: US). Choose Add Filters to add additional filter pairs.

You must include the SAP client as a filter criterion even if the client is not a parameter but an attribute of the SAP HANA view. However, this does not replace the proper authorization setup.

    • Input Parameters:

Enter values for each of the input parameters drawn from the SAP HANA calculation view as these are mandatory for a proper data selection. Choose Add Input Parameters to add additional input parameter pairs.

  2. Alternatively, choose Apply Existing Variant to search for and select an existing variant using the search field. Details of the selected variant appear in the detail view to the right of the search field.

  3. Choose Next to apply the variant and move to the next step.

Applying Parameters, Threshold, and Trend
  1. Choose the Parameters step of the Add Evaluation screen.

With the parameters for the KPI evaluation you determine how the KPI evaluation value is presented to the user. For example, the unit of measure, the scaling factor, and the decimal place. Enter the following parameters:

    • Evaluation Title:

Enter an intuitive title text to make the purpose of the evaluation clear.

Click Additional Language Title to open the Add Title in Additional Language screen. Select the additional language in which you require a title and enter the title text. Choose Add and then Ok to close the screen.

    • Scaling Factor:

The following table lists the available scaling factors:

      Scaling Factor

      Description

      Automatic

KPI value is scaled to the available space

      K

KPI value is displayed in multiples of 1000

      M

KPI value is displayed in multiples of 1 million

      B

KPI value is displayed in multiples of 1 billion

      T

KPI value is displayed in multiples of 1 trillion

    • Tags:

Enter the appropriate tags to make it easier to search for the variant.

    • Unit:

Enter a unit of measurement (UoM) for the KPI, for example, PC. If the UoM that you require is not available in the dropdown list, enter a 3 character text to create a custom UoM.

    • Decimal:

Define how many digits appear after the decimal separator for the KPI value. Enter a decimal format, for example, 0.0. In this example, one digit appears after the decimal separator in the KPI data.

  2. Choose the Target and Thresholds step of the Add Evaluation screen.

The thresholds that you define for the KPI evaluation are determined by the improvement direction that you have selected for the KPI on the Add New KPI screen. See Adding a KPI.

The following table presents the required thresholds for each improvement direction:

    Improvement Direction

    Required Thresholds

    Maximizing – Higher is better

    Warning Low and Critical Low

    Minimizing – Lower is better

    Warning High and Critical High

Target – Closer to the target is better

    Warning High and Critical Low

You must also enter the target value.

At runtime, the colors green, yellow, and red indicate the KPI’s status relative to these thresholds. For example, a maximizing KPI has the following thresholds:

    • Warning Low:10

    • Critical Low: 5

When the KPI value is below 5, the KPI value color turns red. When the KPI value is above 10, it turns green. The color yellow indicates that the KPI has a value between 5 and 10.

  3. Choose the Trend step of the Add Evaluation screen.

To visualize a trend, you compare current values to previously recorded values. In general, KPIs are compared to the time series, that is, the present KPI values in comparison to the last day, week, month, or year.

Using the KPI modeler, you apply a trend by selecting a variant that returns values for the same KPI as the variant that you have applied to the KPI evaluation but that provides data for a certain period the past.

For example, the variant that you have applied to the KPI evaluation returns data for sales in October 2013. Under Trend you choose a variant that returns data for sales at some time in the past, such as September 2013. The trend is calculated by comparing those two variants. Proceed as follows:

    1. Search for a variant.

    2. Select a variant and click Next to apply the trend.

Setting Authorizations

You can define who can see the KPI evaluation at runtime by searching for users or roles and granting them authorizations.

  1. On the Authorizations step, select the users that you want to grant authorization.

  2. Click Finish to grant authorizations.

For more information, see Managing Authorizations.

Activating the KPI

You must activate the KPI to make it available at runtime.

  1. On the home screen, select the KPI and click Activate.

  2. Select Multiselect to activate several KPIs at the same time.

More Information

  • To make a KPI visible at runtime, you must add a visualization. For more information, see Managing Visualizations

  • You can organize your active KPIs by grouping them together with related active KPIs and reports. For more information, see Managing Groups.
